SCOPE OF RESPONSIBILITY
- Own and manage assigned indirect spend categories and programs including office supplies, uniforms, waste removal, multifunction devices, and others.
- Serve as the company's Assistant Travel Manager, responsible for the travel system, process, and for addressing travel-related issues as they arise.
- Co-develop Requests for Proposal, purchase contracts and professional services agreements.
- Contribute to the creation and maintenance of indirect purchasing policies and procedures.
- Gather market intelligence and track industry trends for assigned purchasing categories.
- Execute Environmental, Social, and Governance initiatives within assigned spend categories.
- Manage all administrative aspects for assigned categories including invoice review and approval, system data maintenance, financial coding, supplier vetting and document filing.
- Build and maintain productive relationships with internal customers and functional areas such as Accounting, Accounts Payable/Receivable, Operations, and Legal.
- Develop mutually beneficial relationships with outside goods and services providers.
- Drive cost reduction results within assigned categories.
- Lead facilities management-related activities both local and in the field, as needs arise.
- Manage fixed asset purchases, projects, and maintenance needs for the HQ location.
- Other projects and duties as assigned.
Job Duties
- Serve as primary point of contact for goods/service providers while ensuring appropriate levels of management engagement and approval.
- Facilitate productive relationships between suppliers and internal customers.
- Coordinate supplier performance and continuous improvement initiatives.
- Clearly and concisely report on category performance.
- Coordinate contract development activity in conjunction with the Legal department.
- Facilitate the payment for indirect goods and services and troubleshoot issues as they arise.
- Execute the purchase equipment and services for local HQ and field locations.
- Manage janitorial operations at HQ location and promptly address issues as they arise.
- Order and maintain stock of office and janitorial supplies in support of local HQ facility.
- Develop an annual budget; track and manage expenses within budget.
