EXECUTIVE ASSISTANT
THE ROLE:
The Executive Assistant will provide comprehensive administrative support to the Global Business Management team, reporting directly to the VP of Business Management & Operations. This role involves managing a global process calendar and assisting a globally dispersed team of 150 people. It requires exceptional organizational skills, the ability to handle multiple priorities, and a proactive approach to problem-solving in a fast-paced environment. The Executive Assistant will also work closely with the Chief of Staff to the VP, coordinating across the team and fostering a culture of support and collaboration, while identifying and reviewing opportunities to streamline & reduce administrative burden for the VP and the broader team. Additionally, this role involves working cross-functionally with other executive assistants supporting multiple levels within the organization.
THE PERSON:
The ideal candidate will have significant experience navigating a complex C-Suite environment and be comfortable interacting with employees of all levels. To be successful, you will need strong organizational and multi-tasking skills, and the ability to gather information and make decisions independently. Being proactive and anticipating the needs of the executive is essential as you prioritize time, schedules, inquiries and information.
KEY RESPONSIBILITIES:
- Calendar Management: Efficiently coordinate and manage the executive calendars, prioritizing meetings, appointments, and travel arrangements.
- Global Process Calendar: Maintain and update the global process calendar, ensuring seamless alignment across different time zones and departments.
- Team Support: Provide administrative support to a globally dispersed team of 150 people, facilitating meetings, managing communications, and promoting collaboration.
- Communication: Act as a liaison between the executive, team members, and external stakeholders, ensuring clear and effective communication.
- Document Management: Prepare, edit, and distribute documents, reports, and presentations with precision and attention to detail.
- Problem-Solving: Proactively identify and address issues, ensuring smooth operations in a dynamic environment.
- Administrative Tasks: Handle various administrative tasks, including expense reports, travel arrangements, and office management.
- Collaboration: Work closely with the Chief of Staff to the VP to ensure alignment and support for executive initiatives.
- Team Coordination: Facilitate coordination across the team, fostering a culture of support, collaboration, and mutual respect.
- Cross-Functional Collaboration: Collaborate with other executive assistants supporting multiple levels within the organization to ensure cohesive and efficient operations.
PREFERRED EXPERIENCE:
- Experience: Minimum of 5 years of experience as an executive assistant or in a similar role, preferably in a global organization.
- Skills: Exceptional organizational and time management skills, strong attention to detail, and the ability to multitask effectively, as well as prioritizing calendar requests based on purpose, audience, and strategic focus.
- Communication: Excellent verbal and written communication skills, with the ability to interact professionally with all levels of the organization.
- Technology: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Adaptability: Ability to thrive in a fast-paced, dynamic environment.
- Problem-Solving: Strong problem-solving skills and a proactive approach to addressing challenges with recommended course of action.
- Team Player: Demonstrated ability to foster a supportive and collaborative team environment.
ACADEMIC CREDENTIALS:
- Bachelor's Degree or equivalent level of experience
