THE ROLE:
We are looking for an experienced HR Specialist to join our growing team as part of the Global HR Shared Services Organization. This individual contributor role is responsible for overseeing all HR operations in our Japan and Korea offices and reports to the APJ Regional Operations Manager, based outside of Japan. The role ensures the smooth operation of HR Shared Services while contributing to continuous process improvements and operational excellence.

KEY RESPONSIBILITIES:
HR Operations & Compliance
Manage all day-to-day HR operations in Japan and Korea, covering the full employee life cycle.
Identify and address gaps in HR processes, policies, and practices, working with cross-functional teams to optimize operations.
Ensure accurate administration of all HR actions, adhering to established guidelines and compliance standards.
Collaboration & Stakeholder Management
Partner with HR Business Partners and HR Centers of Excellence (COEs) to support global HR projects, ensuring an employee-centric approach.
Provide country-specific HR operations support for:
Global Immigration Team (work permits and visa matters).
Global Mobility Team (employee transfers).
Global Project Team (HR initiatives).
Act as the subject matter expert on country HR operations, including government HR surveys.
Payroll & Benefits Administration
Administer monthly payroll inputs, working closely with HR Service Centers and payroll vendors.
Collaborate with the Payroll Team on health, pension, and childcare insurance matters.
Manage time tracking systems and support year-end payroll adjustments.
Partner with the Total Rewards Team to oversee employee benefits and ensure a seamless transition to HR Service Centers.
Employee Support & Process Optimization
Provide high-quality, timely responses to employee and manager inquiries, collaborating with Global COEs and the AskHR team.
Utilize HR data analytics and automation to enhance process efficiency and employee satisfaction.
Continuously review and update Standard Operating Procedures (SOPs), internal policies, and compliance guidelines.
Ensure local legal compliance in employment contracts, personnel file management, and HR policies.
Continuous Improvement & Employee Experience
Drive HR process simplification and automation to enhance efficiency.
Improve employee experiences in onboarding, offboarding, and policy administration.
Support annual medical check-ups, coordinate doctor visits, and oversee seasonal flu vaccinations for employees.
Align HR operations best practices across Japan, Korea, and the broader APJ region.
PREFERRED EXPERIENCE:
Contract-based, one-year fixed-term position (5-day work week).
HR operations experience in a similar role.
Business-level proficiency in Japanese and English (Korean Language proficiency is a plus).
Attention to detail with a high degree of integrity and confidentiality.
Proficiency in Microsoft Office, especially Excel.
Experience using HR systems such as SuccessFactors and Oracle.
Familiarity with payroll and benefits administration processes.
A self-starter with excellent problem-solving skills, able to prioritize tasks effectively.
Strong time management, customer service, and reporting skills.
Ability to work in a global, culturally diverse team.
Proven experience in operational excellence and employee experience improvements.
Ability to navigate ambiguous, fast-paced work environments with professionalism and discretion.
Strong communication skills, including interaction with senior stakeholders and participation in specialized HR projects.
ACADEMIC CREDENTIALS:
Bachelor's degree or Higher.
