DESCRIPTION:
This position manages administrative services for the Library & Learning Resources Division. The position is a lead position responsible for coordinating the division¿s purchasing, equipment inventory, facilities and space management, scheduling, and coordination of library emergency preparedness. The primary functions of the position include organizing, implementing, and coordinating budget tracking and purchasing; data gathering and analysis; project, facilities, and equipment management and inventory; and overall administrative and operational support for the Library. This position also works on the circulation desk directly serving Edmonds College students.
This is a classified staff position that reports to the Associate Dean of Library and Learning Resources.

Responsibilities include, but are not limited to:
Operational and administrative support
- Provide analytical and strategic partnership to the Associate Dean in support of exceptional library services.
- Support library strategic initiative planning and implementation efforts.
- Participate in library operational policy development and process improvement.
- Support the administration of proper personnel practices and procedures.
- Organize and maintain administrative records.
- Take meeting notes, track action items, and follow up to ensure that deadlines are met.
- Participate in campus committees and work groups as assigned.
- In coordination with the Safety, Security and Emergency Preparedness Department, serve as the Library lead in coordinating emergency preparedness staff training and in implementing safety and emergency preparedness policies and procedures.
- Coordinate and schedule campus use of the library conference room or other library spaces using 25Live and Google calendars.
Budget planning, purchasing, and data gathering
- Track and reconcile division budgets using ctcLink, customized spreadsheets, and any other college budget tracking and projection tools and procedures.
- Coordinate purchases with the purchasing office, prepare purchase requisitions, ensure invoices are paid, and schedule and coordinate deliveries and installation of items ordered.
- In collaboration with the Associate Dean and under the guidance of the budget and purchasing offices, interpret, implement, and ensure adherence to institutional policies and procedures regarding budgeting and purchasing.
- Develop, update, and maintain spreadsheets or customized tools for tracking division supply needs, P-card purchases, and supply inventories.
- Review budget status reports, analyze any problem areas, and make recommendations for corrective action.
- Compile data and prepare spreadsheets, summaries, or analytical reports of information gathered for use in division planning.
Project, library facility, and equipment management
- Serve as project manager for assigned library projects, working in coordination with library staff and other college departments as needed.
- Prepare division space, equipment, and supply needs analysis and cost estimates.
- Develop and maintain processes for tracking division equipment inventory and replacement schedules, equipment purchases, and related budget tracking.
- Coordinate library facility maintenance needs with facilities and custodial departments.
- Coordinate with staff, vendors, purchasing, and facilities departments in placing orders for any new furniture and equipment and removal of discards.
Customer Service
- Provide excellent service and communication to the Library & Learning Resources Division, colleagues across campus, and library patrons.
- Work regular and backup shifts on the circulation desk directly serving Edmonds College students.
Other duties as assigned.
REQUIRED QUALIFICATIONS:
- Two years of relevant AND progressively responsible experience in office management , with a focus on general administrative and clerical work.
- Proficiency using software such as Microsoft Windows, Microsoft Office, and Google applications.
- Experience with managing budgets and purchasing, and knowledge of financial processes and procedures.
- Ability to develop and utilize tracking and reporting tools for financial and statistical data.
- Project management experience.
- Strong organizational skills with the ability to prioritize assignments and produce work products that are accurate, thorough, and timely.
- Excellent written and verbal communication skills with clear, accurate, concise, and respectful communication.
- Handle sensitive information and communications in a confidential manner.

DESIRED QUALIFICATIONS:
- Experience working in an academic or public library, or on a college campus is desired.
PHYSICAL WORK ENVIRONMENT:
Work is typically performed in an office setting, and onsite/in-person. The ability to sit at a desk/computer station, bend, stoop, walk and generally move around the office to consult with others, work within a busy environment and remain focused on tasks. Inventory management requires some lifting and moving of objects up to 30lbs. The ability to use a telephone, personal computer, and other electronic technology is required. These duties require repetitive arm and hand movements including keyboarding, handwriting, filing, etc., sitting or standing for prolonged periods of time; and working effectively in an area of high activity, busy phones, and frequent interruptions.
WORK SCHEDULE:
Monday through Friday, 8:00 a.m. - 5:00 p.m.
COMPENSATION:
Salary is range 46. Beginning salary is $47,988 - $54,204 annually, with progressive increases to $64,440, plus a full state benefits package, which includes tuition waivers for college classes, medical, dental, retirement options and more. Vacation and leave package includes 12 sick days per year, 11 scheduled holidays, 1 personal holiday, 3 personal leave days, and 14 vacation days per year (incremental increases to 24 vacation days per year).
