Job Summary

This position will report to the SVP of Real Estate and is responsible for all matters pertaining to the administration and coordination of all leases in the Bob's Discount Furniture real estate portfolio. Responsibilities include managing, maintaining, and reporting on all BDF leases (retail, warehouse, & office) and lease obligations in BDF's lease software system. (Lucernex lease administration software) The Lease Coordinator will collaborate with BDF's outside counsel following the execution of each lease to upload onto Lucernex all lease provisions, financial obligations, construction obligations, amendments, exhibits and all related third-party legal documents into Lucernex. Working with outside counsel on an ongoing basis this person will manage and maintain BDF's process for the execution and notarization of all legal documents pertaining to BDF's real estate and construction portfolio. Additional responsibilities will also include the review of lease provisions and other contract language, with the assistance of outside counsel, on an as needed basis, as well as collaborating with the Finance Department to manage all financial obligations (rent, CAM, Taxes, Insurance, etc.) BDF is obligated to pay either monthly, quarterly, or annually in each lease.   The Lease Coordinator plays a key role in the development of reports, and standard forms to communicate clearly within the company all BDF's obligations in each lease from lease execution, through the construction period and during the operation of the store, warehouse, or office for term of the lease and all applicable options.

Responsibilities

  • Maintain Lucernex lease software program for all BDF retail, warehouse and corporate leases including Master Lease Checklist for each lease location.

  • Upload/Input and maintain on Lucernex each lease and all related legal documents, including construction provisions, lease exhibits and all amendments.

  • Maintain annually any changes to leases and/or relevant legal documents for all BDF leases.

  • Responsible for running and managing all reporting capabilities on Lucernex for all BDF leases (retail, warehouse, and office)

  • Collaborate with accounting to insure proper set-up for timely and accurate payment of all BDF financial obligations in each lease.

  • Prepare Confidentiality Agreements and maintain a record of all executed agreements.

  • Maintain a record of all parties provided corporate annual financials by the Real Estate department.

  • Prepare estoppel certificates and SDNA requests by coordinating BDF response with real estate, construction, property management, facilities and outside counsel as needed.

  • Analyze and interpret lease language (with the assistance of outside counsel as needed) and underlying legal documents to ensure compliance.

  • Effectively communicate with Real Estate Team and outside counsel to insure all BDF lease obligations in each lease are met.

  • Finance Department Responsibilities – paying rent, CAM recs, placement of insurance.

  • Opportunities to improve deal making process:

    • Lease Coordinator – assist deal makers once deal is signed to confirm environmental reports for new leases are received from landlord. Lease coordinator understands all elements of the lease and can keep construction and finance informed on nuances of any lease i.e. – insurance needs to be in-place by a certain date. 

Required Qualifications

  • Experienced in Lease Administration Software (Lucernex or other)

  • Excellent organizational skills and attention to detail 

  • Strong communication skills

  • Independently prioritize workload and coordinate projects with multiple departments   

  • Notary
