Job Purpose

Serve as primary reception and information resource for the organizations Support Center location by assisting walk-in traffic and answering telephone and e-mail inquiries. Provide supplementary clerical, computer, and operational support as assigned. This position is the focal point for the company and its business units.

Follows through on duties and projects as assigned. Participates in and completes training programs successfully offered to increase skill and proficiency related to job title. Follows company policies, and federal and state. Ensures adherence to good safety procedures in accordance with federal, state and company policies. Communicates directly with all business unit personnel. Immediately informs supervisor of any urgent matters that may arise. Exercises a high level of professionalism and confidentiality of sensitive information. Able to be flexible regarding occasional extended hours, changes in schedule for company events, as needed. Organize and schedule appointments and meetings. Take notes/record meetings and track for accountability. Write/distribute emails, correspondence memos, letters, faxes, forms. Run all Zoom meetings for Chief of Schools (recording and distributing, when needed). Expert at the use of Owl for our interactive meetings. Provide general support to visitors and Principals and State Staff. Serve as contact person for facilities, services, deliveries, maintenance of office space, and security, etc. Provide visibility and status updates on department projects. Support in managing project timelines and support timely delegation of responsibilities. Create collaterals to support projects for various audiences (PowerPoint's, flyers, pamphlets, web postings, videos, etc.). Detailed proofing and formatting of documents in Microsoft Word, Excel, PowerPoint, and Microsoft Outlook before distribution. Prepares, proofs and monitors the completion of Power Point presentations (Education Department, Board Meetings, Executive Team Meetings, External Presentations, etc.). Special Projects. Coordinate collection of Dashboards from COS Team. Keep updates to Team and CSUSA Master Calendar current (used by network to schedule events). Planning and Logistics of Department Events (to include Accountability Retreats, Ed Solutions, A Team Meetings, State Superintendent/Director Meetings). Maintain office supply inventory/supplies. Maintain kitchen supply inventory/supplies. Manage office daily mail operations and collaborate with mail/package vendors (UPS, USPS, FedEx) for scheduling pick up and deliveries. Responsible for occasional holiday and other front office set up. Ensures Front Office is clean and organized. Provide general support to visitors and Principals and State Staff. Event calendar support. Support Orlando office staff (order lunches for meetings, printing, scanning, distribution of communications, and other duties as assigned. etc.). Assist with retreats (preparation, setup, cleanup,). Recognition of Birthdays/Anniversaries.

Job Requirements
High School graduate or equivalent. Minimum of 2 years relevant experience. Experience working in a professional office setting highly desired. Excellent customer service and phone skills. Excellent organization, time management, and follow up skills. Must be able to present a professional office with great customer service skills. Must have a positive attitude and be able to collaborate with others, while helping to maintain a pleasant working environment. Must be detail oriented. Bilingual a plus but not required. Understanding of and commitment to company values. Successful results of criminal and employment background check. Ability and willingness to take directions. Possesses excellent interpersonal skills and displays such between all stakeholders: being courteous, professional, and helpful. Possesses excellent communication skills: Oral (including presentations), Written, Interpersonal (active listening), Negotiating and Influencing.
