Description

Join the Development Approvals and Inspections section as a Securities and Contracts Assistant! In this role, you will be responsible for key accounting and contract administration functions within the Landscaping Securities and Inspections unit, playing an integral role in supporting the growth of the city's tree canopy and delivering exceptional customer service to our business partners.

Reporting to the Securities and Contracts Administrator, this role oversees the administrative lifecycle of landscaping securities—including the intake, holding, and release of funds for landscaping on private development sites in accordance with operating procedures. You will also assist in coordinating and executing key administrative components of the unit's annual procurement cycle and maintain accurate standard operating procedures.

What will you do?

  • Receive, verify, track, and process incoming securities, letters of credit, cash, and development bonds
  • Draft official receipts, track security expiration dates, and process security release requests
  • Assist with contract development, proposal scoring, vendor call-outs, and processing payment JVs
  • Provide timely, customer-focused support regarding landscape security inquiries and procedures
  • Maintain accurate databases, physical files, and financial tracking sheets across enterprise systems
Qualifications

  • Recognized accounting certificate (e.g., NAIT, SAIT, MacEwan)
  • Minimum 1 year of administrative office experience

Assets:

  • Experience working with municipal software such as POSSE, ARIBA, CORES, and SPIN
  • Previous exposure to real estate development, zoning regulations, or legal security documents

Skills required for success:

  • Expert command of basic accounting practices and financial record reconciliation
  • Clear, professional written and verbal communication skills
  • High level of accuracy and attention to detail when managing monetary transactions
  • Proactive problem-solving and critical thinking skills under tight deadlines
  • Proficiency using Google Workspace tools (Sheets, Docs, Slides)
  • Strong conflict-resolution and de-escalation skills when addressing customer concerns
  • Outstanding organizational abilities to manage multiple priorities independently
  • Strong relationship-building skills to collaborate smoothly with team members and external clients

Conditions of Employment:

  • CRC - Hire is dependent on a Criminal Records Check (CRC) that is satisfactory to the City of Edmonton, and there may be a cost associated with this requirement

Work Environment:

  • Note: This position may be eligible for a hybrid work arrangement with the flexibility to work from both home and the worksite as per the Letter of Understanding between the City of Edmonton and Civic Service Union 52
  • The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement, and the incumbent will be notified in advance
  • This role works primarily in an indoor setting
  • This is a public-facing role and requires engagement and interaction with diverse people from various backgrounds with different needs, expectations and emotional states
