Description

Are you a highly organized administrative professional looking to support a critical public service? Edmonton Fire Rescue Services (EFRS) is seeking a proactive Administrative Support Clerk to join our Community Safety & Risk, Fire Prevention and Investigations team. In this role, you will be the first point of contact for our section, providing essential clerical services that keep our day-to-day operations running smoothly. Working within the Fire Prevention and Investigations section, you will provide comprehensive administrative support to the Assistant Deputy Chief, Fire Marshal, Chief of Investigations, and Assistant Fire Marshals. You will be responsible for managing complex schedules, coordinating meetings, and ensuring the seamless flow of internal and external correspondence. A significant portion of your role involves financial support, including monthly billing for permits and inspections, as well as managing data entry within specialized systems. You will operate with a high degree of independence, exercising initiative to meet strict deadlines while maintaining professional relationships with various city departments and community partners. Your success will be defined by your ability to achieve timely, service-minded results that align with the City's cultural commitments.

What will you do?

  • Act as the first point of contact for the section, filtering information and re-routing inquiries from the public and other agencies
  • Provide dedicated clerical support to the EFRS Leadership Team, including drafting agendas and recording meeting minutes
  • Research, edit, and prepare high-standard correspondence, bulletins, and reports for signature
  • Perform monthly billing and cost recovery entry into SAP for file searches, permits, and re-inspections
  • Manage the flow of incoming and outgoing documents, ensuring they are recorded and branded according to City policy
  • Coordinate 311 tickets and process business license documentation
  • Maintain office inventory, manage petty cash, and coordinate offboarding processes for staff
  • Organize and maintain complex schedules and compile materials for section meetings
  • Other duties as assigned
Qualifications

  • Completion of Grade 12, including business subjects related to word and information processing
  • Alternatively, completion of an appropriate certificate program from an approved business school or college
  • Minimum of two (2) years of progressively responsible and diversified experience in word/information processing or data entry and general office procedures

Assets:

  • Experience working within a fire rescue or emergency services environment
  • Proficiency in specialized software such as POSSE, SAP/Ariba (Enterprise Commons), and PeopleSoft
  • Knowledge of Bylaw 15309 and Fire Rescue Services' specific policies

Skills required for success:

  • Demonstrated proficiency in the use of Google Suite
  • Excellent proofreading skills with a high degree of accuracy in grammar, punctuation, and spelling
  • Strong time management skills and the ability to set priorities while handling concurrent tasks and competing deadlines
  • Ability to handle confidential information with judgment and discretion
  • Strong written and verbal communication skills to collaborate effectively with diverse teams and community partners

Conditions of Employment:

  • Hire is dependent on a Criminal Records Check (CRC) that is satisfactory to the City of Edmonton, and there may be a cost associated with this requirement

Work Environment:

  • Due to the nature of this work, this position is not eligible for a hybrid work arrangement
  • The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement, and the incumbent will be notified in advance.

Salary Range: $26.640 - $33.081 (Hourly); $46,933.020 - $58,280.450 (Annually)
