Job Description

The Executive Assistant supports the Chief Information and Operations Officer (CIO) in all areas of day-to-day operations. 

Essential functions include keeping the CIO's calendar, scheduling meetings with internal and external constituents, preparing correspondence, making travel arrangements, preparing meeting agendas, determining appropriate access to the CIO for internal and external visitors & callers, keeping relevant files, maintaining necessary records, submitting monthly mileage, submitting expense reports, managing software renewals, working closely with and building relationships with external vendors, monitoring/managing budgeted accounts, reviewing and verifying documents submitted for CIO's signature. 

The position puts systems in place to ensure organized, timely, efficient operation so the CIO is free to give attention to high-level, strategic matters. Additionally, at the direction of the CIO, this position will research, analyze, compile data, make recommendations, prepare reports and/or presentations, and develop written and web-based communication such as newsletters, the campus website, and social media platforms. In accordance with federal guidelines, this position is also set to ensure all aforementioned reports and communications meet accessibility and Section 508 compliance. Maintain up to date knowledge of current technologies needed to ensure continuity in day-to-day activities.

The position must demonstrate appropriate discretion, confidentiality, and professionalism with the ability to interpret and make decisions, interact with individuals at all levels of the organization and external audiences. This position must work independently and handle a wide range of activities in a confidential manner and with discretion.  The Executive Assistant may be asked to research, analyze, and compile data to make recommendations and prepare reports and/or presentations.

Required Qualifications

  • Bachelor's degree from an accredited college or university; OR equivalent combination of education and experience.
  • 3 years of comparable professional experience supporting office management/office administrative sectors.
  • Proficient in Microsoft Office 365: Word, Excel, PowerPoint and Outlook, experience in the technology and higher education fields and guidelines for Section 508 compliance.

Preferred Qualifications

  • Lead worker or supervisory experience.

The ideal candidate should possess the following knowledge, skills, and abilities:

  • Section 508 compliance OR an equivalent combination of education and experience.
  • Availability to work evenings and weekends when needed.
  • Reliable transportation; must be able to travel to multiple campuses.
  • Ability to maintain confidentiality of sensitive information.
  • Direct experience in Workday ERP, Autotask, ServiceNow, TMI ticketing systems and NSHE experience.
  • Direct experience in Jira project management/tracking system.
  • Proficiency in use of a personal computer and current software applications including but not limited to Microsoft Office Suite (Word, Access, Excel, PowerPoint, and Outlook).
  • Experience within technology and higher education fields.
  • Proficient in Visio and Teams.
  • Proficient in Adobe Creative tools i.e. Illustrator, InDesign, Photoshop, Forms and other document management systems.
  • Proficient in Staffbase, Chameleon, Constant Contact, and other email creation platforms.
  • Proficiency in basic web management and social media platforms.
  • Working knowledge of Power BI or similar applications.
  • Experience coordinating and supporting special events. Ability to create and manage schedules. To include, but not limited to employee schedules, event and workload coordination, etc.
  • Extensive prior work with developing/tracking departmental budgets and assets.
  • Experience in creating extensive reports, compiling data, creating annual reports.
  • Working knowledge on reporting within CRM (Customer Relationship Management) systems i.e., Greymatter, Radius, etc.
  • Experience working with a diverse/multicultural student body and/or workforce.
  • Experience with the new employee hire process.
  • Detail oriented with success implementing solutions to create optimal efficiency.
  • Previous management experience overseeing multiple employees.
  • Possess excellent written, public speaking, and strong interpersonal skills with the ability to collaborate with diverse individuals, leveraging high levels of emotional intelligence.
  • Knowledge of concepts and principles of project management.
  • Make decisions and take actions independently for a variety of diverse situations.

Salary Information
Administrative Faculty C-RP2 – The starting salary is $68, 063.
