The Highlights: Reporting to the Director of Gift Processing, the Gift and Data Processing Associate ensures that gifts received by the University are processed and receipted in an accurate and efficient manner that is consistent with established procedures and University and IRS policies. The Gift and Data Processing Associate also plays an integral part in maintaining the accuracy of the biographical information on our constituents as well as the completeness of the team's electronic and physical files. In so doing, they are a member of a team that is responsible for ensuring the integrity of information on the University's alumni, donors and friends.
What You'll Do:
- Data Entry
• Timely and accurate recording of detailed gift information and biographical data. - Gift Receipting
• Run daily receipts reports, review for completeness, accuracy and the need for further processing to properly substantiate donations.
• Handles requests for duplicate receipts and paper receipts.
• Manages intake, review, tracking and re-sending of returned receipts.
• Assists in the preparation, review and mailing of annual receipts to recurring and payroll donors - Document Management
• Maintain electronic and physical files, including purging files on a periodic basis.
• Imaging of gift documentation, including gift and pledge agreements. - The Gift and Data Processing Associate will be required to handle cash as well as sensitive financial data such as credit card and bank account information. In performing these duties, they must use the utmost care to ensure the privacy of this information.
What You'll Need:
- High school degree required.
- 2 years of relevant data entry experience.
- Associates degree, preferred.
- Prior data entry experience in finance, accounting or related field, preferred.
- Excellent organizational and time management skills. Ability to perform detailed work with a high degree of accuracy and efficiency.
- Ability to perform standard arithmetic functions of a transactional nature, including tracking and comparing data.
- Fluency in standard Microsoft Office software (including Word, Excel, and Access).
- Aptitude in learning new technology and software.
- Excellent interpersonal and customer service skills, including a demonstrable ability to work within a diverse office environment.
- Ability to work independently with good problem solving skills.
- A desire to work with data in a quiet office environment.
- Strong sense of personal and professional ethics.
- Experience working in a complex customer relationship management system.
- Visual acuity in order to carefully enter and check data entered into a computer. Requires ability to sit for extended periods of time. Requires motor dexterity skills for extended use of computer, keyboard, telephone, and printer.
