Position Summary
At Stony Brook Medicine, a TH Staff Assistant II is a valuable member of our team, who provides administrative and executive support and has the ability to interface with all levels of management throughout the hospital. Qualified candidates will demonstrate superior communication and organization skills while adhering to our high standard of excellence.
Duties of a TH Staff Assistant II in the Clinical Education Office may include but are not limited to the following:
- Assists with coordination and implementation of various educational programs conducted by the department
- Takes and prepares minute notes, including but not limited to, minutes for Nurse Residency Advisory Board
- Prepares administrative statistics and reports
- Maintains required records for the following programs: Critical Care, Nurse Residency, and other educational programs for the Department of Clinical Education as assigned
- Assists with the entry of statistical data
- Prepares budget, purchasing request, request for travel, and ensures cost analysis for programs are accurate and readily available
- Maintains the attendance records related to the UHC Nurse Residency Program. The Residency Program is both research project as well as transition into practice program - To ensure eligibility for accreditation, records must be meticulously maintained
- Maintains the calendar of the department Director
- Assists in event planning
- Corresponds with Hospital based educators and managers to maintain work schedules for the Nurse Residents assigned to the transitional pool
- Responsible for assisting with the planning, organizing, coordinating and implementing the administrative operations and educational activities for the hospital employees, students in Critical Care, Nurse Residency Program, and School of Nursing Partnership Program
- Works independently and be an effective communicator
- Assists with coordination, implementation, record keeping and database entry of various educational programs conducted by the department
- Maintains distribution groups, meeting invites, agendas and takes minutes for various committees
- Prepares budget, purchasing request, request for travel, and ensures cost analysis for programs
- Corresponds with Hospital based educators and managers to maintain scheduling of programs
- Works independently, skilled in time management and effectively communicates
- Performs other duties as assigned
Qualifications
Required Qualifications: Associates degree. At least 2 years of relevant full time experience in an administrative capacity. Proficient in Microsoft Office Suite. Must be able to effectively interact and communicate with all departmental heads/supervisors on a house wide basis. Ability to work independently, with excellent time management and communication skills. Experience and skill in focusing on details, accuracy, multi-tasking, and follow through.
Preferred Qualifications: Bachelor's degree. Past experience in hospital, healthcare or healthcare education setting. Proficiency in Microsoft PowerPoint. Computer skills include experience with Peoplesoft, Lotus Notes, and/or At-Staff.
