Title:  Administrative Assistant / Receptionist

Location: Melville, NY - In Office/ Full Time

Position Overview:

The Administrative Assistant is responsible for the overall day-to-day administrative support of the entire office. This position is the first point of contact for customer/client interaction when answering phones or receiving visitors. As an Administrative Assistant, you would ensure that the administrative support within the office functions efficiently, professionally, and with the highest level of customer service to our visitors and office staff. This role is essential in maintaining efficient office operations daily.

Responsibilities:

  • Answering telephones and directing callers to the appropriate party. Will transfer a caller to the appropriate voice mailbox when the party is unavailable.
  • Supporting various office departments by efficiently identifying, processing, and distributing electronic mail and faxes using advanced mail processing technology in a timely manner.
  • Processing outgoing mail including USPS and FedEx.
  • Locking and unlocking reception lobby doors.
  • Maintaining a neat and clean reception area and posting appropriate signs for office closures, holiday hours, etc.
  • Contributes to a team effort by assisting in other related areas as needed.
  • Complies with all internal procedures and practices while demonstrating the ability to meet service performance and quality standards.
  • Other duties may be assigned.

Education and/or Experience:

  • High school diploma.
  • Minimum of 1-year administrative support experience preferred.
  • Proficient in Microsoft Office, use of office machine such as multiline phone systems, fax/copier/scanner and mail machine.
  • Must be able to work in a fast-paced environment with demonstrated ability to manage multiple competing tasks and demands.
  • Bilingual (English/Spanish) speaking a plus.

The national average salary for this role is $50,000 to $52,500 in base pay and exclusive of any bonuses or benefits. The base pay offered will be determined based on your experience, skills, training, certifications and education, while also considering internal equity and market data.
