Fusion Global Academy Scheduling Coordinator
Position Summary:
A Scheduling Coordinator (SC) efficiently schedules student and teacher sessions to maximize campus enrollments. Scheduling Coordinators are also responsible for coordinating with families on contracts, schedules and change requests.
Key Responsibilities Include:
Outcome 1: Schedule Student and Teacher Sessions - Schedule sessions and maximize use of classrooms/teachers via teacher recommendations and multi-term contracting.
- Efficiently schedule student and teacher sessions
- Input all student and teacher sessions into Matrix.
- Consider constraints like availability, holidays, and campus events.
- Maximize campus enrollment capacity:
- Prioritize off peak class times.
- Allocate more sessions to full-time teachers.
- Input discretionary hours on to teacher schedules, with the correct pay code.
- Modify additional mastery sessions in Salesforce and maintain sessions in Matrix.
- Utilize and upkeep external scheduling documents.
- Understand and resolve concerns or changes arising with student schedules.
Outcome 2: Communicate effectively, engaging with campus team members and families to foster a positive culture and supportive relationship.
- Maintain positive communication with campus team members.
- Ensure teachers know the student's start date prior to the student starting classes.
- Assist parents with filling out the Enrollment Form, creating a MyBill account, and making tuition payments.
- Understand and effectively communicate Fusion's mastery learning model, refund policies, payment options, absence policies, and withdrawal procedures.
- Support parent communication with your campus Account Specialist, as needed.
- Assist guardians and students in resetting Portal passwords.
- Creating and updating tasks in Salesforce.
Outcome 3: Create, present, and review contracts with families to ensure parent understanding of all contract terms and elicit timely completion of all contracts for the enrollment year.
- Use Salesforce to correctly generate contracts.
- Manage the contract signing and collection process.
- Follow-up to receive contracts back within 48 hours.
Outcome 4: Managing/resolving teacher absences.
- Record sessions impacted by a teacher absence in tracker.
- Communicate with families regarding a teacher absence.
- Arranging substitutes or reschedule the sessions impacted.
- Maintain teacher absence statistics for reporting purposes.

Bachelor's degree required.

Excellent listening, strong verbal skills, and solid written communication are imperative.

This position requires the ability to keep a level head while working calmly in a fast-paced, entrepreneurial environment.

The candidate must be able to review complex scheduling systems including recognizing availability and conflicts.

Expertly skilled in Microsoft Excel (especially pivot tables) and other computer systems (Matrix, Salesforce).

Highly skilled in creating positive relationships with students, parents, teachers, and the community resulting in high customer satisfaction.

In addition, the candidate must be highly organized and able to prioritize tasks and be autonomous, problem-solving natured, and self-starting.
