The Administrative Assistant to the Operations Team plays a critical role in ensuring the smooth flow of information and supporting daily operations across departments, vendors, and site leadership. The ideal candidate thrives in a fast-paced, manufacturing-driven environment, is highly organized, and enjoys tackling complex tasks that contribute to an efficient and productive workplace


 


Responsibilities



  • Provide direct administrative support to members of the Operations Team, including meeting coordination and travel arrangements

  • Manage all types of daily communications to ensure professional, accurate and timely response and appropriate prioritization; direct information to the correct point of contact and correspond internally and externally

  • Data Entry of job requisitions in Simple VMS for Staffing partners

  • Maintain and organize digital and physical filing systems for operational documents, reports, and records

  • Track and update records on company’s Corporate Social Responsibility (CSR) to ensure the site remains compliant

  • Input and maintain data related to operations, logistics, inventory, and vendor records

  • Assist with managing vendor relationships, purchase orders, invoice processing and expense reports

  • Manage the set-up of access badges in the system, maintain Receptionist system ensuring all visitors are registered and acknowledge and follow site Safety/GMP requirements

  • Coordinate or support engagement events for the site

  • Support leadership with site audits

  • Additional research & special projects as needed

  • Follow corporate and site-specific Good Manufacturing Practices and report noncompliance when observed.

  • Observe all company safety rules and assist in enforcement as appropriate.

  • Other duties as assigned.


 


Schedule:             Monday - Friday 8:00AM - 4:30PM  (must be flexible to support business needs)


 


Compensation:    $23.00 - $25.00 


 


Status:                  Non-Exempt

Qualifications

  • 3+ years of experience in an administrative role, preferably within a manufacturing, logistics, or warehousing environment
  • Proficient in MS Office (Word, Excel, Outlook and PowerPoint) as well as other web-based programs and video conferencing
  • Must be able to adapt procedures, processes, and techniques to align with the business needs
  • Excellent organizational, problem-solving, and follow-up skills, and the ability to effectively handle multiple priorities while working under minimum supervision
  • Professional demeanor and sound decision-making to communicate professionally and maintain a high degree of confidentiality
  • Collaborative team player with proactive approach; ability to take initiative
  • Effective interpersonal and listening skills, telephone etiquette, superior oral and written communication skills, proofreading skills and attention to detail
  • Attention to detail and a proactive approach to problem-solving
  • Bachelor's degree in business or related field preferred or equivalent experience
  • Working knowledge of Concur
  • Bilingual -English/Spanish (A must)
