What You Will Get To Do:

The Executive Assistant will support the Head of Sales within the Intralinks team — a global technology group delivering secure inter-enterprise content management and collaboration solutions. The Sales team works with organisations across global markets to drive growth, support strategic transactions, and deliver industry-leading collaboration technology. In this fast-paced, customer-focused environment, the EA will partner closely with the Head of Sales and the broader sales organisation to enable smooth operations, efficient communication, and effective execution of sales initiatives.

  • Manage and prioritise the Head of Sales' calendar across multiple time zones, ensuring seamless coordination of meetings and commitments.

  • Screen calls, emails, and correspondence to streamline communication and enable timely action on key business matters.

  • Coordinate complex domestic and international travel, including flights, accommodation, visas, and related documentation.

  • Prepare and distribute meeting agendas, briefing packs, presentations, and minutes, ensuring clear ownership of action items.

  • Process and reconcile travel and expense claims in line with company policy, escalating exceptions where required.

  • Partner with regional sales leaders to support APAC business plans, initiatives, and project delivery.

  • Assist in resolving operational issues through cross-functional coordination, data gathering, and sales reporting support.

  • Support planning and execution of sales events and thought-leadership activities, including venue logistics and budget tracking.

  • Participate in sales leadership meetings, including international travel approximately 3–4 times per year.

  • Provide administrative and logistical support for global and regional leadership meetings, including document preparation and on-site coordination.

  • Monitor urgent communications across time zones and ensure prompt escalation or response to critical items.

  • Identify and implement opportunities to streamline processes, improve collaboration, and enhance operational efficiency.

What You Will Bring:

  • Bachelor's degree or equivalent experience preferred.

  • Minimum 5 years' experience as an Executive Assistant, ideally supporting sales leadership or senior executives in a fast-paced environment.

  • Demonstrated ability to work independently, exercise sound judgment, and handle confidential information with discretion.

  • Exceptional organisational skills, capable of managing multiple priorities and meeting tight deadlines.

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, SharePoint).

  • Excellent written and verbal communication skills, with a professional and polished interpersonal presence.

  • Proactive, solution-oriented mindset with strong attention to detail and accuracy.
