Kamehameha Schools is currently looking for an Assistant Archivist to assist with supporting our KS archives program and collections.

Our ideal candidate we'll have:

  • Bachelors degree in archives, history or library science. 
  • Knowledge of archives best practices.

Our ideal candidate will also have a strong attention to detail, be highly organized & flexible with strong customer service and communications skills.

This is an on-site position based out of our Kapālama Campus.

Job Summary

Provides administrative and operational support of Kamehameha Schools (KS) Archives Program and archival collections, which encompass documents, photographs, media, and artifacts spanning over 100 years of history.

The Assistant Archivist ensures proper processing, conservation, and accessibility of materials by executing standard operating procedures for collection management, supporting outreach initiatives, and leveraging technology to promote the KS Archives Program.  Under the guidance of the Archivist, the Assistant Archivist also contributes to strategic plans that promote the KS Archives vision of championing modern, respectful, and transparent engagement with KS archival artifacts that enhance the constituents' understanding and experience of KS.

Essential Responsibilities

Operational

  • Process KS archival artifacts of various mediums according to enterprise and industry standards and best practices, including accessioning or de-accessioning, processing, organizing, inventorying, maintaining, and disposing. 

  • Regularly update the inventory of KS archival artifacts, according to criteria set by the Archivist and meticulously track donors of these artifacts to the KS Archival Program. 

  • Document key KS archival processes, such as accession and de-accession, inventory and special collections, archival requests, and access, finding aids, and disposition.

  • Maintain and survey storage spaces, de-accessioning artifacts that do not meet program criteria or standards and conducting environmental monitoring and security reviews of digital and physical archives spaces, and repairs. 

  • Complete tasks as assigned by the Archivist and provide support by taking on additional responsibilities as needed to ensure the continuity of the program.

  • Participate in archival projects and initiatives that support the mission of the KS Archives Program as needed.
     

Digital

  • Assist in the development, implementation and reporting on strategic virtual engagement for KS archival information and resources on the KS Archives website.

  • Identify and propose opportunities to integrate emerging technologies to enhance the KS Archives Program experience for various constituents, such as artificial intelligence and machine learning.

  • Contribute to strategic communication methods and content to promote the KS Archives Program (ex. newsletters, email campaigns, etc.).
     

Engagement

  • Work collaboratively with faculty to assist with developing curriculum that includes KS history and Hawaiian culture and conducts classes for a variety of instructional levels from elementary to high school.

  • Teach staff, alumni, and the community about KS history through prepared presentations and displays.

  • Provide research support regarding new information on and artifacts related to KS history from alumni and current or former staff.

  • For approved media requests about KS history that involves KS archival artifacts, assists with representing the KS Archives Program in a manner that is appropriate for various intended audiences.
     

Position Requirements

Minimum Qualifications - An equivalent combination of education and experience may be considered in lieu f the above.

  • Bachelor's degree in archives, history, library science, or other related discipline with emphasis or experience on archives.

  • Minimum 2 years of experience related to the responsibilities.

  • Knowledge of and experience with standards for archives management, including DACS, including archival theory and practice, preservation concepts, principles, and methodologies, local research tools, and finding aids.

  • Experience with using various archival tools and equipment, such as book scanners, video converter, and microfilm.

  • Excellent attention to detail with strong organizational and prioritization skills, with the ability to manage multiple tasks and duties simultaneously.

  • Strong communication and interpersonal skills, with the ability to work effectively as a team member.

  • Physically able to read small fine print, install and uninstall exhibitions, retrieve and return archival artifacts from various types of shelving or storage, carry heavy boxes, or other manual efforts required to fulfill responsibilities.

  • Ability to fulfill other archival duties as assigned.
     

Preferred Qualifications

  • Master's degree, attained or in progress, in archives, history, library science, or other related discipline with emphasis or experience on archives.

  • Relevant archives certifications, attained or in progress, such as Certified Archivist.

  •  Knowledge of and experience with records management and information governance.

  • Skilled in archival software, such as Preservica.

  • Working for or with a K – 12 educational institution.

  • KS history or Hawaiiana/Pacifica history, culture, or language
     

Physical Requirements

  • Frequently sits, perform desk-based computer tasks and grasp light or fine manipulation, talk or hear.

  • Occasionally stand and/or walk, write by hand, and lift and/or carry, push and/or pull objects that weigh up to 25 pounds.

  • Rarely twist, bend, stoop, squat, kneel, crawl, climb, reach or work above shoulder, or grasp forcefully.
     

Working Conditions

  • Work may involve exposure to mold, dust, and chemical residues.

  • This position may involve traveling to various locations, including neighbor islands to conduct business.

  • Work is conducted in an office/school environment and may require work to be conducted in non-standard workplaces.

  • Work is typically conducted Monday through Friday at normal business hours but evening and weekend hours are often required to meet goals and objectives.
