Job Summary
The Accounts Receivable (AR) Coordinator performs full cycle accounts receivable processing, proper account coding, discrepancy resolution, correct billing, preparation of monthly AR accruals, and monitoring of AR aging and system discrepancies.
Primary Objectives
- Executes timely, accurate, and complete billing and associated administrative processes.
- Accurately records customer payments.
- Supports preparation of monthly AR accruals with accurate, timely data entry.
- Creates credit and debit memos to appropriately resolve billing discrepancies.
- Communicates and collaborates effectively with internal and external customers to close open items timely.
Duties and Responsibilities
- Maintain department KPIs and accuracy ratings as defined by the department.
- Accurately invoice customers and record customer payments using multiple invoicing schedules and systems.
- Perform typing, faxing, mail distribution, phone messaging, and other office related duties as required.
- Enter and update customer and shipment information as needed.
- Assist in clearing collections issues such as credit memos, debit memos, and short pays.
- Research and correct discrepancies.
- Code invoices to appropriate general ledger accounts.
- Maintain accurate, timely, and thorough records in proprietary database.
- Run credit card reports to balance with bank deposits.
- Create deposits and post cash.
- Match and reconcile payments to invoices.
- Process credit cards for customer payments.
- Follow proper audit procedures to review aging reports.
- Receive and respond to customer calls and correspondence, provide excellent service, and escalate concerns as needed.
- Maintain timely contact with customers.
- Update schedule, logs, and tasks daily.
- Other duties as assigned.

Education
- High school diploma or equivalent (HSED) and some college-level math or accounting courses required
- Associate degree in Accounting, Business, or a related field preferred
Work Experience
- 2+ years of experience with increasing responsibilities in a similar or related industry required
Required Knowledge, Skills and Abilities
- Demonstrated proficiency with Microsoft Office products at the following levels:
- Excel: Intermediate level of skill
- Word, Outlook: Basic level of skill
- Experience with ten key by touch and typing speed of 35 WPM required.
- Ability to perform basic math calculations including multiplication and percentages.
- Ability to communicate clearly with excellent verbal, written, and listening skills.
- Ability to work as an individual contributor or as a valued participant in a team based environment.
- Demonstrated ability to maintain confidentiality with tact and discretion.
- Excellent customer service skills with the ability to develop effective professional relationships.
- Strong attention to detail with a high degree of accuracy with data entry.
Preferred Knowledge, Skills and Abilities
- Advanced Microsoft Office skills in SharePoint, Access, and Outlook preferred
