Description

Kelly® is currently seeking an experienced Administrative Assistant III to provide critical operational and administrative support to a top oil and gas client located in Downtown Houston, Texas. This key position ensures seamless coordination of events, manages expense reports, supports travel arrangements, and provides day-to-day administrative assistance with the utmost professionalism and accuracy.
Location: Downtown Houston
Contract: Long-term
Pay: $34 per hour
What's a typical day? You'll be:
Providing Office Administration & Support:

  • Maintain an organized and professional office environment
  • Manage incoming communications and correspondence
  • Prepare reports, presentations, and spreadsheets with a high level of accuracy
  • Provide general administrative support (copying, filing, document organization)
  • Manage calendars, schedule meetings, and organize conferences
  • Prepare and reconcile expense reports
  • Monitor costs and expenditures; assist with purchasing and vendor documentation
  • Order and coordinate catering for meetings and events
Event Coordination:
  • Plan and execute departmental & companywide events (holiday celebrations, charity initiatives, culture & engagement activities)
  • Coordinate messaging with Internal Communications
  • Manage event budgets and purchasing (SAP requisitions, vendor negotiations, expense tracking)
  • Maintain communication and feedback for continual event improvement
Travel & Scheduling:
  • Serve as the lead for domestic & international travel coordination
  • Arrange travel itineraries and manage travel approvals
  • Ensure compliance with expense reporting and company travel policies

This job might be an outstanding fit if you:
  • Have an associate's degree (or higher education)
  • Have a minimum of 3+ years' Administrative Assistant experience
  • Have prior experience managing travel, schedules, and expense reporting for senior-level executives
  • Are results-focused, detail-oriented, problem-solver, and a self-starter
  • Have strong interpersonal skills to build relationships across departments and with senior management
  • Are highly proficient in Microsoft Office Suite
  • Are experienced in handling confidential information
