Contract position

About the Role:
We are seeking a detail-oriented Field Office Administrative Coordinator to join our team. This position supports our office operations through excellent organizational skills and proactive communication. You will be the backbone ensuring day-to-day administrative needs are met with professionalism and care.
Key Responsibilities:

  • Maintain documentation for the department, including ongoing communication with regional management.
  • Schedule meetings, video conferences, travel itineraries, and manage calendars for assigned personnel.
  • Keep contact with team members who are traveling or working remotely.
  • Attend departmental meetings, take notes, and distribute materials.
  • Compile, condense, and prepare both routine and special reports as requested.
  • Draft letters and correspondence.
  • Create and modify presentation materials.
  • Prepare expense reports and reconcile charges.
  • Answer phone calls, greet visitors, and maintain office appearance as needed.
  • Distribute mail, e-mail, and faxes.
  • Set up and maintain filing systems.
  • Perform other duties as required.
Key Qualifications:
  • Minimum of 2 years of clerical/secretarial experience or demonstrated proficiency in administrative office support.
  • High school diploma required; bachelor's degree preferred (open to new grads).
  • Up to 2 years of relevant post-secondary education may substitute for experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Experience with SAP Ariba is a plus.
Soft Skills:
  • High emotional intelligence; ability to work with diverse personalities.
  • Strong customer service skills.
  • Deep understanding of stakeholder needs.
  • Proactive, organized, and initiative-driven; able to make decisions in ambiguous situations.
  • Strong communication skills across all levels (internal and external).
  • Customer-facing experience preferred.
  • Japanese speaking is a plus.
