Job Description:
As an Accounts Receivable / Credit & Collection Associate, you will play a critical role in managing cash receipts, maintaining customer relationships, and overseeing credit assessments. Your responsibilities will include:
Cash Receipt Management
- Post daily cash receipts accurately and reconcile them with bank reports at month-end.
- Resolve discrepancies by collaborating with the internal credit and collections team and external customers.
- Leverage SAP and bank files to efficiently post transactions.
- Apply basic accounting principles (Debits, Credits, GL accounts) to ensure proper cash application processes.
- Proactively manage AR aging reports and conduct timely collections through phone and email communications.
- Offer documentation (invoices, PODs) to support payment requests and negotiate payment plans for overdue accounts.
- Recommend accounts for external collections when necessary.
- Collaborate with sales teams on special cases and non-routine accounts.
- Maintain accurate call logs within SAP and address any invoicing/payment discrepancies.
- Ensure customer master files are accurate and comply with company and JSOX policies.
- Enter new customer data into SAP via the Customer File Maintenance (CFM) form and resolve discrepancies.
- Conduct research to ensure legal name accuracy and provide necessary documentation for audits or special projects.
- Review credit applications, obtain credit information from banks and suppliers, and evaluate customer creditworthiness.
- Establish or recommend appropriate credit limits based on findings and sales projections.
- Maintain credit files in accordance with company policies and monitor credit limits for active accounts.
- Respond to external credit inquiries regarding customer payment history.
- Address failed credit checks for orders and take necessary actions to prevent shipment delays.
- Communicate with customers, Sales, and Customer Service to resolve order issues and adjust credit limits if needed.
- Manage open deduction items, ensuring they are properly coded and addressed.
- Provide supporting documentation to customers to recover invalid deductions.
- Report to Sales and Credit Managers regarding unresolved deduction disputes.
- Assist with UCC filings, special projects, credit card processing, and credit evaluations as needed.
- Bachelor's degree in a related field from an accredited university.
- Strong attention to detail, with excellent communication, interpersonal, and analytical skills.
- Proficient in Microsoft Office applications.
- Experience using SAP.
