Kelly Services is searching for a Dispatcher in the Newark, DE area! ----------------------------------------------------------
Position: Dispatcher
Work Hours: 8:00 am to 4:30 pm, Monday through Friday; some weeknights and weekends may be required
Primary Job Function:
As a Dispatcher at Kelly Services, you will play a vital role in ensuring all service calls are scheduled and coordinated efficiently. This includes managing incoming customer calls, maintaining clear and continuous communication with service technicians, customers, and office staff, and ensuring a smooth dispatch process.
Key Responsibilities:
- Answering customer calls within 2-3 rings and delivering an excellent customer experience
- Booking service calls based on the right technician for each job and addressing customer needs with urgency
- Handling customer complaints with patience and empathy, escalating issues when necessary
- Updating and maintaining the dispatch board and schedule, forecasting workload in advance
- Dispatching technicians from home or office, maintaining communication throughout the day, and debriefing post service calls
- Keeping an updated daily schedule of service technicians and their on-call schedules
- Scheduling timely repairs upon parts arrival and maintaining customer communication regarding part statuses
- Following up with all chat, email, or corporate leads
- Closely working with warehouse and service managers to order and price compare parts
- Serving as backup to Customer Service when needed
- Booking all jobs through Service Titan and ensuring accurate service and maintenance information is updated in the system
- Maintaining efficient daily office communication, following up on unclosed invoices, unsold leads, and upcoming visits
- High School Diploma or equivalent required
- Previous dispatch experience preferred, HVAC industry experience highly preferred
- Proficiency in Google Suite (email, Google Docs, Google Sheets, Google Drive) and Service Titan
- Excellent verbal and written communication skills
- Strong attention to detail, with the ability to prioritize and manage multiple responsibilities efficiently
- Proficient in documentation, reporting, and data entry
