Overview
Kelly Services is proud to collaborate with a prestigious higher education institution to recruit an Executive Aide. This key role entails providing expert administrative support and partnership to the senior leadership in the Office of the Provost. The Executive Aide will have a significant impact on the university's mission by focusing on financial operations, academic priorities, accreditation processes, faculty advancement, and a variety of administrative initiatives. Additionally, the Executive Aide will support the operations of the Office of the Provost and provide occasional assistance to the Office of the President.
Essential Functions
- Promote effective office functioning.
- Plan and coordinate scheduling.
- Respond to scheduling requests and information inquiries.
- Develop and send correspondence related to financial, administrative, and operational activities.
- Assist with the management of special projects, accreditation information, and document requests.
- Provide back-up support to the President's Office as needed.
- Facilitate communications on administrative and financial activities.
- Maintain records of internal funding approvals.
- Coordinate meetings for budget reviews, forecasts, and faculty salary recommendations.
- Assist with preparation and dissemination of agendas and materials.
- Assist with budget preparation and monthly financial reconciliations.
- Finalize and submit budgets.
- Monitor accounts and manage financial transactions.
- Consult with internal experts on non-routine requests.
- Arrange and support committee, project, and task force meetings.
- Maintain records and handle communications for the University Budget Committee.
- Coordinate with participants and manage meeting schedules.
- Process and maintain records of sensitive information.
- Support HR-related processes as needed.
- Identify opportunities for operational improvements.
- Continuous coordination with Senior Vice President, Deputy Provost, and Provost's Office staff.
- Frequent interaction with executive aides and representatives for scheduling and work coordination.
- Regular contact with financial planning and administrative teams.
- Occasional interaction with vendors, industry resources, and external partners.
- Regular interaction with students visiting the office.
Qualifications and Experience:
- Minimum of 6 years of related administrative experience required.
- High school education required.
- Strong organizational abilities.
- Skill in prioritizing tasks and managing multiple demands.
- Attention to detail.
- Professionalism, discretion, and confidentiality.
- Team collaboration.
- Financial process and system knowledge.
- Willingness to learn higher education accreditation standards.
- Effective written and verbal communication.
- Proficiency in Excel, Word, PowerPoint, and Google Suite; PeopleSoft experience preferred.
- Familiarity with shared drives and information security practices.
- Sound judgment and problem-solving skills.
