Job Title: Executive Assistant
Position Summary:
Under the direction of the Chief Executive Officer (CEO), the Executive Assistant provides high-level executive and clerical support to the CEO, Executive Staff, and Board of Directors. This role encompasses schedule management, full-cycle meeting support, file maintenance, travel coordination, contract management, and special projects. The incumbent will handle highly confidential information and engage regularly with senior executives, board members, and guests. This position may require occasional evening and weekend work to support executive and board activities. The ideal candidate is professional, highly organized, courteous, and exercises excellent judgment at all times.
Essential Duties and Responsibilities:

Manage the CEO's schedule, including planning and preparing meetings, conferences, teleconferences, travel, and associated documents.

Coordinate and confirm travel arrangements for the CEO, Executive Staff, and Board members, including flights, accommodations, and itineraries.

Provide full-cycle meeting support for the Board of Directors and subcommittees, including preparing agendas, supporting documents, meeting packets, and accurate transcription of minutes.

Assist in agency fundraising projects and events, including research, coordination, data compilation, and communication.

Work occasional weekends and travel within the state for meetings as required.

Develop and maintain organized filing systems for administrative correspondence, personnel files, and other records.

Manage office supplies, subscriptions, technical accounts, and facility-related communications.

Screen and respond to phone calls, requests, and inquiries on behalf of the CEO, demonstrating knowledge of agency programs and policies.

Prepare contract briefs and revisions to summarize contractual requirements and budgets.

Format and produce complex documents from drafts, notes, or voice transcriptions.

Review, analyze, log, and prioritize incoming memos, submissions, and distributions.

Draft correspondence, reports, and technical materials independently as needed.

Create and maintain reports and databases.

Provide administrative support to key leadership team members as required.

Maintain the highest levels of confidentiality, integrity, and professionalism.

Supervise clerical staff and provide administrative support as assigned.

Offer vacation and temporary relief as needed.

Perform other duties as assigned.

Ability to read, analyze, and interpret business publications, professional journals, technical procedures, and governmental regulations.

Knowledge of office procedures, filing systems, and professional correspondence.

Strong presentation skills and ability to respond to questions from diverse audiences.

Ability to represent the agency professionally in all interactions.

Understanding of diversity, nonprofit organizations, and government contract administration.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with Adobe Creative Suite, WordPress, HTML, Photoshop, and/or Canva.

Ability to operate an agency or personal vehicle safely for official business purposes.

Commitment to the mission of ending poverty in San Bernardino County.
Minimum Education and Experience:
-
Associate degree in public relations, communications, business administration, or a related field required; Bachelor's degree preferred.

At least three (3) years of recent paid experience supporting high-level executive administration, including project management, correspondence drafting, and meeting preparation.
Physical and Environmental Requirements:

Intermittent sitting, standing, walking, twisting, and bending.
-
Simple grasping, hand manipulation, and reaching above and below shoulder level.
-
Vision requirements include close vision, distance vision, color vision, peripheral vision, depth perception, and focus adjustment.

Ability to lift up to 25 pounds.

Indoor work in a temperature-controlled environment with occasional exposure to outdoor conditions.

Low to moderate noise levels in the work environment.
