Operations Clerk Onsite in Oklahoma City
Monday-Friday 8AM- 5PM
$20.00/HR

Primary responsibilities:

Provide primary office and systems administrative support to local branch, partner with Operations team  based out of multiple locations to support, tracking, and coordinate tasks as necessary.  Support efforts with special events and projects as assigned.

Office and systems administration:

  • Responsible for the day-to-day operations of the office, including support of management, associates, and staff. Manage all office business systems and related vendors. Ensure office supplies are replenished as needed.  Responsible for organizing and maintaining all local branch files and records
Recruiting system support and tracking:
  • Provide local coordination of all recruiting processes and systems related to recruiting new financial advisors including the management of interviewing tracking and processing of new candidate hiring paperwork to meet critical timelines.  Helping to ensure candidates progress to onboarding in the most efficient and effective manner possible.  Collaborate and coordinate with the branch team to manage a complex, interrelated system focused on tracking and managing candidates to join the firm.      
New business coordination and commission troubleshooting:
  • Helping to build a competence in processing of new business for advisors and support staff across the numerous product lines offered  this position will be able to support a “submission to commission” support capability to ensure efficient and expedited completion of business transactions. Help communication information regarding pending cases and opportunities to close business transactions.  Provide initial research into barriers to problems that arise during the processing of new business/commissions with service centers and HQ to facilitate escalated resolution with branch management
Advisor/DM operational support:
  • Support the tracking and implementation of all operational areas affecting our advisors/DMs ability to conduct business with Advisors with an ease of doing business standard.  Scope of this responsibility includes contract validations to benefits qualifications to succession planning for an advisor's retirement.
Special events/projects:
  • Plan, organize and coordinate both local, branch and regional events and meetings within budgetary and targeted objective expectations in a collaboration with the operations team.  Events will range from small local management sessions up to larger events such as an Awards Banquet or Education Conference with 400+ participants for the region.  Will participate in the development of the project concept, agenda/speakers, venue selection/logistics and communications to target audience. 
Qualifications:  
  • Problem-solving skills
  • Research and data-gathering ability
  • Analytical business skills contributing to good judgement and independent decision-making 
  • Strong organizational; ability to build an internal support network
  • Ability to manage multiple projects and prioritize tasks in a collaborative team environment
  • Proficient in Microsoft Office tools (Outlook, excel, Word)
  • Knowledge of standard office equipment (copiers, fax, scanners, computers, printers, phones)
  • Ability to collaborate and communicate with all levels of internal/external clients with diplomacy and tact.
  • Strong verbal and written communication skills
  • College degree preferred; Experience valued.
