Job Title: Payroll Administrator
Location: Taunton, MA
Compensation: $70,000 - $75,000 per year
Schedule: Hybrid (3 days in office, 2 days remote). Hours: 8:00 AM - 4:30 PM or 8:30 AM - 5:00 PM

Company Overview:
Our client is a premier distributor of wine and spirits in New England. At the Taunton office, the payroll team oversees payroll for approximately 1,700 employees during peak times. This includes managing various payroll schedules (weekly and bi-weekly) and accommodating a diverse workforce, including exempt, non-exempt, union, non-union, seasonal, and temporary employees. The payroll system utilized is Paylocity, and the role involves handling commission-based and incentive-based pay plans.

Position Summary:
As a Payroll Administrator, you will be responsible for ensuring accurate and timely payroll processing, maintaining employee records, and preparing analytical reports. This role requires strong attention to detail, accuracy, and the ability to juggle multiple tasks and deadlines. A hybrid work schedule provides a balance of in-office and remote work flexibility.

Key Responsibilities:

  • Process weekly and bi-weekly payroll, including reviewing new hire details, employee changes, and preparing necessary file uploads.

  • Monitor time sheets and manage paid time off in compliance with company and union policies.

  • Utilize system reports and Excel spreadsheets to identify and resolve payroll discrepancies.

  • Maintain and analyze spreadsheets related to salesforce commissions.

  • Ensure payroll accuracy before and after processing.

  • Track and manage union-related information, including pensions and health and welfare benefits, using Excel.

  • Maintain complete and accurate payroll personnel files.

  • Prepare weekly accounting vouchers for vendor payments.

  • Run, review, and analyze reports from Paylocity.

  • Update and maintain the payroll policy and procedures manual.

  • Provide exceptional customer service by responding to payroll-related inquiries from employees and businesses.

  • Monitor, store, and dispose of records in accordance with retention policies.

Qualifications:

Education/Training/Experience:

  • High School Diploma or equivalent (required).

  • Bachelor's degree or equivalent experience (preferred).

  • Minimum of 2 years of experience with payroll processing software; experience with Paylocity is highly desirable.

  • Advanced proficiency in Microsoft Word, Outlook, and Excel (including VLOOKUP, SUMIF, nested formulas, and pivot tables).

  • Comprehensive knowledge of payroll wage and hour laws, as well as federal, state, and local tax laws.

Skills/Abilities:

  • Ability to apply union contract rules to payroll processes.

  • Maintain strict confidentiality of payroll data and records.

  • Strong critical thinking, problem-solving, and solution-oriented skills.

  • Extremely organized and detail-oriented.

  • Self-motivated and capable of working independently or collaboratively.

  • Excellent written and verbal communication skills.

  • Ability to quickly learn and navigate new systems.
