Role Overview
The Procurement Operations Specialist is responsible for managing the end-to-end vendor lifecycle and Purchase Order (PO) workflows. This role focuses on maintaining data integrity within our ticketing systems, ensuring accurate supplier registration, and facilitating seamless communication between internal teams and external vendors.
Key Responsibilities
- Ticketing & Request Management: Utilize a centralized ticketing and communication system to process vendor requests, ensuring all actions are clearly documented and organized.
- Supplier Registration: Manage the submission and verification of supplier registrations. Investigate rejected submissions, identify root causes, and coordinate with internal teams or suppliers to implement necessary corrections.
- PO Lifecycle Management: Oversee the setup and creation of Purchase Orders. Transition workflows to the Ariba system as part of the upcoming system launch.
- Operational Follow-up: Maintain high levels of "trackability" by proactively following up on pending requests, system updates, and unresolved tickets to ensure no steps are missed.
- Documentation & Compliance: Strictly adhere to manual guides and standard operating procedures (SOPs) for vendor setup and system navigation to minimize miscommunication and errors.
- Technical Systems: Proficiency in SAP S/4HANA is highly preferred. Experience with Ariba or similar procurement platforms is a significant advantage.
- Ticketing Experience: Proven ability to work within a high-volume ticketing environment to track and manage workflows.
- Communication: Strong verbal and written communication skills, with the ability to explain complex system requirements to suppliers clearly.
- Attention to Detail: Meticulous approach to data entry and document review; ability to follow multi-step manuals with high accuracy.
- Problem Solving: Aptitude for troubleshooting system rejections and identifying corrective actions independently.
- Visual learner with a strong ability to interpret technical documentation and manuals.
- Results-oriented mindset with a focus on "clean" data and efficient documentation.
- Ability to adapt to new system launches and evolving procurement technologies.
