Purchasing Administrator

  • Location: Oklahoma City, OK - 73114 
  • Contract (6 Month to possible Perm) 
  • Hourly pay - 25hr - 30hr (Based on experience) 
  • Must be able to work without sponsorship

Position Summary

The Purchasing Administrator – Sourcing & New Product Introduction (NPI) provides critical administrative and transactional support to the Strategic Sourcing and NPI teams to ensure timely, accurate execution of purchasing activities for new and existing products. This role enables effective sourcing execution and smooth product launches by maintaining ERP data integrity, coordinating supplier documentation, and supporting prototype, pilot, and production readiness.

The role partners closely with Strategic Sourcing, Engineering, Program Management, Quality, Operations, and Finance to support supplier onboarding, part setup, and purchase order execution throughout the product development and launch lifecycle.

Key Responsibilities

  • Sourcing & NPI Administrative Support
  • Support strategic sourcing activities by preparing RFQ documentation, supplier communication logs, and cost comparison files
  • Assist with supplier onboarding for new product introductions, including documentation collection and system setup
  • Support administrative tasks related to sourcing decisions, tooling orders, and prototype procurement
  • Maintain organized records related to sourcing projects, supplier selections, and approval documentation
  • New Product Introduction (NPI) Execution
  • Create and maintain purchase orders for prototype, pilot, and production materials associated with NPI programs
  • Track and follow up on prototype, sample, and pilot material orders to support development and launch timelines
  • Support transitions from prototype to pilot and into production by ensuring accurate supplier, part, and pricing setup
  • Coordinate with Engineering, Quality, and Operations to ensure purchasing readiness for product releases
  • ERP & Data Management
  • Set up and maintain supplier, item, and pricing data in ERP systems for new products and sourcing changes
  • Process engineering change-related updates impacting purchasing data, pricing, or supplier assignments
  • Ensure purchasing data accuracy to support MRP planning, cost roll-ups, and financial reporting
  • Maintain documentation supporting sourcing and NPI audit and compliance requirement
  • Supplier & Cross-Functional Coordination
  • Serve as a point of contact for routine supplier communications related to order confirmations, documentation, and delivery status
  • Track supplier acknowledgements, lead times, and readiness in support of NPI milestones
  • Support resolution of receiving, invoice, and pricing discrepancies related to sourcing and NPI activities
  • Reporting & Launch Readiness Support
  • Generate reports to support sourcing milestones, NPI readiness reviews, and launch execution
  • Assist in tracking open orders, supplier readiness, and part setup status for new product launches
  • Support sourcing leadership with data collection and administrative analysis for business reviews
  • ·High school diploma or equivalent (Associate's degree preferred)
  • 2+ years of experience in purchasing, procurement administration, or supply chain support
  • Experience supporting sourcing and/or new product development activities
  • Working knowledge of ERP systems (SAP, Oracle, Epicor, NetSuite, Microsoft Dynamics, or similar)
  • Strong attention to detail and data accuracy
  • Proficiency in Microsoft Excel and standard office tools
  • Preferred
  • Experience in a manufacturing or engineering-driven environment
  • Familiarity with NPI or NPD phase-gate processes
  • Exposure to RFQs, cost roll-ups, and supplier onboarding
