Job Summary

Assists with the volunteer program by assessing volunteer need/utilization, planning/organizing program development, recruiting, interviewing/assigning, training, and evaluating. Responsible for volunteer orientation. Assists with daily volunteer  coordination/supervision. Interprets policies and procedures.

Minimum Qualifications

Minimum Education: Associate's Degree
Minimum Years of Experience: 2 Years of experience in problem solving;
2 Years of training with work experience relating to volunteers and office function coordination
Substitutable Education & Experience: An Associate's Degree and two years of training can be substituted for one of the following:
4 Years of training with work experience relating to volunteers and office function coordination;
Bachelor's Degree in health care field.
Required Certifications/Licensure: None.
Required Training: Excellent oral/written communication, customer service, and interpersonal  skills;
Demonstrates initiative and flexibility;
Excellent organizational and project management skills;
Proficient computer experience and word-processing required;
Demonstrates ability to lead a work group to meet departmental goals;
Capable of exercising sound and mature judgment when interpreting  policies and procedures.

Essential Functions
  • Assist with the overall coordination of the volunteer program (adult, junior and college program).
  • Assists with volunteer budget and monitoring costs for program.
  • Assists with developing/reviewing/evaluating/revising policies and procedures for the volunteer program.
  • Assists with assessing need/developing/conducting/evaluating volunteer educational/training programs.
  • Assists with assessing volunteer need/utilization.
  • Participates in the interviewing, selecting and assigning of volunteer personnel.
  • Assists with developing/updating/revising/maintaining volunteer position descriptions.
  • Assists with coordinating volunteer recognition events and awards, e.g., awards recognition banquet, luncheons. Communicates/corresponds with volunteers as needed.
  • Develops promotional materials for volunteer events to include classes, recognition, etc. Communicates/corresponds with volunteers as needed.
  • Assists with preparation of the newsletter.
  • Maintains an effective working relationship with the auxiliary. Coordinates for auxiliary events/requests.
  • Participates in volunteer recruitment activities.
  • Assists with the daily supervision/coordination of all volunteers.
  • Plans, coordinates and maintains an effective customer service focus in the volunteer program, which is compatible with the hospital's philosophy.
  • Prepares/maintains a personnel file for each volunteer.
  • Serves as a liaison between various departments and the Volunteer Services department to assist in coordinating volunteer service performed/utilization. Facilitates inter/intradepartmental communication as related to volunteer issues/concerns.
  • Responsible for maintaining the volunteer database/computerized volunteer personnel management system, including statistical reports, time and attendance, monthly and annual distribution of awards.
  • Responsible for maintaining accurate records for flower/mail deliveries, etc and provides reports.
Duties & Responsibilities
  • Assists with the PPD process, birthday cards, sympathy cards, flower delivery for hospitalized volunteers, uniform inventory processes.
  • Responsible for volunteer general orientation and for coordinating the Clinical Education part for Patient Care Orientation.
  • Assists with the volunteer application process.
  • Coordinates volunteer LOA, termination process.
  • Assist with coordinating volunteer coverage and arranging for substitutes as needed.
  • Responsible for the supervision/orienting/evaluation of the Information Desk area volunteers positions.
  • Develops/reviews/evaluates/revises maintains up-to-date policy manual for information desk activities.
  • Assists with the volunteer scheduling/locating substitutes for other areas.
  • Maintains professional growth/development. Keeps director informed of current issues/trends.
  • Represents the hospital at meetings and conferences with other agencies and organizations.
  • Coordinates with other department personnel as need to provide volunteer coverage.
  • Maintains an optimistic and professional image and exhibits excellent customer relations to patients, visitors, physicians and co-workers. Shows courtesy, compassion and respect. Holds self and those supervised accountable for conforming to Service Expectation policies.
  • Demonstrates appropriate communication of information necessary to provide services to the age of patients served.
  • Demonstrates receptiveness and facilities change. Maintains positive manner throughout the change process.
  • Participates in quality assessment and improvement activities.
  • Performs all other duties as assigned by authorized personnel or as may be required in emergencies, e.g., fire or disaster.
  • Contributes to departmental effectiveness by planning and organizing work to be accurate.
  • Cost effectively utilizes resources and appropriately accounts for supplies and equipment.
