Responsibilities:
PRIORITIES
• Relieve management of administrative details, all projects
• Coordinate workflow
• Update and chase delegated tasks to ensure progress to deadlines
• Take initiative in manager's absence
• Keep projects on schedule
COMMUNICATION
• Compose correspondence/reports for own or manager's signature
• Arrange manager's essential mail in priority action order
• Check deadlines on incoming requests and put preliminary work in play
• Process replies on own initiative or from manager's dictation or notes
• Research, draft or abstract reports
• Communicates with executive, administrative and line management personnel to gather or convey relevant information
PHONE
• Handle all inquiries within my capacity
• Arrange “call-backs” to protect manager time
• Provide back-up materials for call-backs
• Route calls elsewhere as needed
• Do phone surveys/inquiries as needed
APPOINTMENTS / MEETINGS / COMMITEES
• Maintain calendar; ascertain which events require manager's presence
• Organize Operations and Strategic Committees meetings as well as the Accounts forum
• Fix commitments to maximize manager's time efficiency; Allow decision/desk time
• When manager chairs meetings prepare agenda in advance, arrange meeting facilities
CONFIDENTIALITY
• Perform to earn manager's full confidence
• Assure discreet handling of all business
VISITORS
• Screen to control interruptions
• Provide back-up data as needed
• Arrange amenities as needed
• Schedule visits away from manager's area to protect priority/private tasks
TRAVEL
• Arrange travel through internal or outside agents
• Prepare itinerary, trip file and supplies
• Complete expense reports after trip
DATA MANAGEMENT
• Improve/tighten storage/retrieval systems
• Update and manage contacts list
ROUTINES
• Set up “exception reporting” system to handle routines without supervision
• Routinely re-order department supplies
• Update mail/phone directories
• Study and review company or department procedures
• Recommend management action to improve standard operating procedures
• Develop and test new procedures
• Take initiative on requests and inquiries of administrative nature, especially when manager's specialty is not administrative
All About you:
• Administrative skills usually acquired through office experience
• Advanced PC skills including spreadsheets, word processing and databases
• Able to manage multiple tasks simultaneously
• Fluent French and English required
