Summary of Position:

Help support the team that keeps MedStar Good Samaritan Hospital operating safely, efficiently, and effectively.

 

The Facilities Management department is seeking an organized, dependable, and service-oriented Administrative Assistant to support its daily operations. In this position, you will coordinate administrative activities, maintain important departmental records, assist with payroll and purchasing, and serve as a key point of contact for hospital associates, vendors, and the public.

Primary Duties and Responsibilities:

  • Provide comprehensive administrative support to Facilities Management, including managing calendars, scheduling appointments and interviews, answering and routing calls, distributing mail, preparing correspondence, entering data, maintaining confidential records, and coordinating special projects.
  • Arrange meetings, conferences, seminars, and departmental events by coordinating schedules, rooms, speakers, audiovisual equipment, refreshments, agendas, minutes, and supporting materials.
  • Support departmental business operations by processing payroll and personnel forms, maintaining associate records, monitoring licenses when applicable, ordering supplies, tracking purchasing requisitions, communicating with vendors, and helping resolve equipment, billing, and payment concerns.
  • Collect, analyze, and report departmental data related to service delivery, efficiency, and operational performance. Prepare reports, rosters, invoices, reimbursement requests, financial documents, and other materials, and assist with budget preparation and variance monitoring as assigned.
  • Participate in meetings, committees, community outreach, and multidisciplinary improvement initiatives while supporting departmental goals and complying with hospital policies, quality and safety standards, and governmental and accreditation requirements.

Minimal Qualifications:

Education

  • High school diploma, GED, or equivalent required.
  • Knowledge of medical terminology required.
  • Business coursework or administrative/secretarial training preferred.
  • One year of relevant professional experience may substitute for one year of required education.

Experience

  • Two years of clerical or office experience required.
  • Experience in a medical office, hospital, or ambulatory care environment preferred.
Knowledge, Skills, and Abilities
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and maintain confidential information.
  • Working knowledge of word-processing, spreadsheet, and presentation software in a Windows environment.
  • Accurate typing, transcription, data-entry, and recordkeeping skills.
  • Professional verbal and written communication skills.
  • Strong interpersonal and customer-service abilities.

This position has a hiring range of

USD $20.57 - USD $36.27 /Hr.
