General Summary of Position
Manages the personnel and the effective day-to-day operations of the HIM department, including transcription and release of information. Supports the radiation oncology medical staff with regard to licensing, credentialing, and reappointment, as well as meeting coordination/scheduling, on-call scheduling, and various other clerical duties.


Primary Duties and Responsibilities

  • Manages HIM staff and establishes work priorities for the department. Develops and implements department goals, objectives, policies and procedures and ensures compliance.
  • Able to perform all duties under each position within the department, providing coverage/assistance for all positions, when necessary, in the absence of other appropriate personnel.
  • Assists with updating and maintaining policy and procedure edits.
  • Completes statistical reports using Cancer Registry database as needed. Compiles statistical reports as requested.
  • Maintains ongoing communication with department personnel reviewing workflow, providing feedback, and develops standards of performance.
  • Coordinates efforts with all personnel accessing tumor registry software to assure accuracy of the data and compliance with process.
  • Coordinates performance of special projects determined to be necessary or beneficial to the administrative staff or the physician staff.
  • Coordinates the copying of medical records when requested by physicians, lawyers, patients, by subpoena or for audits.
  • Coordinates the filing of incoming and outgoing medical correspondence, X-rays and patient charts. Coordinates the scanning of existing medical records into the electronic medical records. Monitors the accuracy of scanned material in EMR for all new patients. Assists with document scanning as needed.
  • Develops and maintains procedures for the transcriptions to assure timely, accurate and efficient transcription of all correspondence. Monitors the incoming and outgoing transcription on a weekly basis, approving overtime when necessary to achieve goal of 48-hour turn-around time from initial download. Establishes the procedure for end-of-treatment chart review for all offices.
  • Produces weekly Press Ganey reports for all radiation oncology offices ensuring accurate and complete information for all patients. Formats and uploads completed report to Press Ganey.
  • Monitors the concierge email in-box daily and handles all incoming calls on the concierge referral phone line, obtaining and providing necessary information. Provides referral information to appropriate office location for contact and scheduling.
  • Supervises and manages medical record storage. Responsibilities to include filing and retrieval of patient medical records as well as a log of all materials forwarded to offsite location.
  • Develops and updates the physician on-call schedule yearly. Posts the on-call schedule and contact information to the MedStar platform.
  • Initiates, oversees and compiles information required for continuous credentialing/appointment. Provides information to hospitals and others in regard to licenses, credentialing and reappointment. Maintains continuing medical educations credits for physicians.
  • Maintains schedules for the physicians. Coordinates cancer conferences, tumor boards, staff meetings, lectures, and other meetings. Notifies appropriate personnel of any schedule changes to ensure schedule conflicts are addressed.
  • Completes registration and/or payment for conferences, coursed, membership renewal, organizational dues and licensure fees.
  • Composes letters of necessity and completes forms for patients with regard to transportation, handicap tags, FMLA, jury duty, missed work, etc. Sends letters at physican request for missed appointments, and treatment noncompliance.
  • Updates Health Maintenance Organizations computerized list. Completes recredentialing applications for physicians for HMO's.

    Minimum Qualifications
    Education

    • Associate's degree required

    Experience

    • 5-7 years experience in a medical setting with proficiency in medical terminology required and
    • 1-2 years 2 years supervisory experience required and
    • prior experience in tumor registry required and

    Knowledge, Skills, and Abilities

    • Basic computer skills. Excellent grammar, punctuation, and spelling skills.
    • Verbal and written communication skills.


    This position has a hiring range of $80,995 - $152,027
