General Summary of Position
Responsible for coordinating departmental activities associated with quality and safety programs including performing project management, implementing interventions and protocol adherence, documentation and quality control. Performs project management, implements interventions and protocol adherence, documentation and quality control. Activities may occur across multiple sites and also in collaboration with risk management, research, education, simulation and human factors professionals to improve performance and reliability in patient safety, quality and healthcare delivery within the MedStar community. Key contributor in overseeing MedStar's occurrence reporting system known internally as the Patient Safety Event Management System (PSEMS). Works to resolve technical, content and process questions for associates. Maintains close alignment with and develops and sustains strong working relationships with the clinical and operational leadership and frontline staff in each of the MedStar hospitals and non-acute facilities.


Primary Duties and Responsibilities


  • Develops and contributes to the achievement of established department goals and objectives and adheres to department policies, procedures, quality and safety standards. Ensures compliance with hospital/facility policies and procedures.
  • Coordinates and conducts data extraction from clinical and research databases (e.g., patient safety reporting system, Vizient database, patient satisfaction survey database, others as defined by protocol).
  • Coordinates protocol implementation and document processing
  • Coordinates, schedules and confirms meetings and/or conferences. Reserves conference rooms and equipment, selects and orders refreshments/meals and composes meeting notices and correspondence.
  • Manages calendar and appointment schedule of Assistant Vice President and Quality & Safety Team Directors. Make travel arrangements when applicable.
  • Maintains files for the Assistant Vice President and any applicable division files. Organizes and retrieves information on an ongoing basis, while maintaining confidential records. Attends designated committee/management meetings and take minutes. Distributes correspondence and handles follow up related to the meetings as required.
  • Demonstrates behavior consistent with MedStar Health mission, vision, goals, objectives, and patient care philosophy.
  • Maintains project documentation, track progress on projects, and work with quality and safety team members to overcome barriers.
  • Participates in preparation of event reviews, proposals, project reports, quality and safety presentations, and toolkits for dissemination.
  • Participates in team meetings and departmental team meetings as appropriate.
  • Works with the quality and safety team members to develop project forms, surveys, processes and procedures, manuals, and data analysis and tracking systems.
  • Involved in routine communication with RL Datix vendor, supporting product satisfaction and up-to-date product use. Consistently advocates for MedStar's needs and requests.
  • Provides support and resources for efficient system utilization and enhanced safety event reporting. Appropriately interfaces with entity-based content coordinators, consensus groups and local leadership, provisions users access, resolves technical, content and process questions and requests for Site Administrators and corporate users.
  • Supports utilization, product introduction and education of users throughout the system for the occurrence reporting system.
  • Uses patient safety data to identify and/or support needs for safety performance improvement initiatives. Brings these recommendations to appropriate team members on a regular basis to ensure they have the data to prioritize risk reduction projects in department and system-wide goals.
  • Manages monthly Good Catch Award program and works with Q&S leadership and the Office of Communications to facilitate the annual HeRO Award luncheon.
  • Generates reports for system level leaders to gather accurate data across the system. Collaborates to identify appropriate information to meet the customers need.
  • Provides recommendations on the creation, use and retirement of elements of the event reporting system to meet the needs of MedStar Quality and Safety standards.
  • Leads projects to successful completion resulting in improved operational, quality, safety and or clinical outcomes.

  • Minimal Qualifications
    Education

    • Bachelor's degree in Public Health ore healthcare related area required

    Experience

    • 3-4 years experience in a healthcare setting required and
    • Experience with event reporting system preferred

    Knowledge, Skills, and Abilities

    • Must be highly organized and detail oriented, with excellent time management skills
    • Must possess strong communication and writing skills and must be able to work independently and as part of a team
    • Requires a strong working knowledge of MS Word, PowerPoint, and Excel
    • Ability to analyze challenging and complex quality and safety issues and opportunities and be proactive in proposing/implementing solutions
    • Ability to apply independent judgment to quality and safety needs and employ independent decision making solving real life challenges and identifying gaps and program needs


    This position has a hiring range of $65,062 - $117,291
