The Resident Coordinator plays a vital role in supporting the Residency Program by coordinating accreditation activities, recruitment efforts, scheduling, and day-to-day operations. This position works closely with the Program Director and Assistant Program Director to ensure a highly professional, organized, and resident-centered environment. Education & Experience

  • Bachelor's degree required or equivalent experience
  • 1 year of administrative experience with a Bachelor's degree, or 5 years of administrative experience in lieu of degree

Skills & Knowledge

  • Medical terminology preferred
  • Strong organizational, multitasking, and time-management skills
  • Proficiency in Microsoft Word, Excel, Access, and PowerPoint
  • Excellent written and verbal communication skills
  • Ability to work independently, maintain confidentiality, and interact professionally with diverse stakeholders
Key Responsibilities

Program Scheduling & Operations

  • Manage resident rotation, call, conference, and office schedules in Epic and New Innovations
  • Track and report resident leave (vacation, sick, CME, maternity) and schedule changes
  • Coordinate Grand Rounds, lectures, speakers, A/V needs, and related logistics

Recruitment & Interviews

  • Coordinate resident recruitment, interviews, onboarding, tours, and candidate communications
  • Maintain applicant records in ERAS and assist with rankings and submissions to GME
  • Support development of residency marketing materials

Records & Accreditation

  • Maintain confidential resident files, licensure, credentials, and master logs
  • Track accreditation documentation, evaluations, duty hours, procedures, and attendance
  • Maintain accuracy of external databases (ACGME, FREIDA, National GME Census)
  • Prepare residency verifications for alumni

Communication & Resident Support

  • Serve as liaison between residents, faculty, Program Leadership, and GME
  • Manage residency-related correspondence and notifications
  • Escalate resident concerns or crises to leadership as appropriate

Orientation, Education & Conferences

  • Coordinate new resident orientation, system access, and required training
  • Maintain resident manuals and onboarding materials
  • Manage didactic schedules, attendance tracking, and conference logistics

Medical Student Coordination

  • Schedule medical student rotations, assignments, and evaluations
  • Monitor student capacity limits and submit required documentation

Financial & Administrative Support

  • Track residency expenses, reimbursements, CME funds, and AP records
  • Support event planning, certification tracking, and resident meal programs

Technology & Systems

  • Serve as technology liaison for resident devices and paging systems
  • Maintain proficiency with residency and office systems

Additional Duties

  • Manage resident PTO in accordance with policy
  • Collaborate with the Office Administrator on daily operations
  • Perform additional duties as assigned
