Montage Orthopedics and Sports Medicine

Location: Ryan Ranch

Pay Range: $23.00 - $27.96

This position is responsible for maintaining all aspects of the physician's office and schedules as assigned. Responsibilities include providing back-up coverage as needed to coworkers and other physicians, scheduling all in-office appointments including New Patient, post-op and pre-op appointments, in-office and outpatient procedures. Reviews incoming referrals. Obtaining authorizations when required, verifying insurance eligibility, updating patient demographic information, and ensuring proper pre-certifications. Re-schedules patients as needed to comply with physician's schedule changes. Position requires extensive phone support. Ensures all required radiology tests and operative reports are received in the office prior to a patient's scheduled appointment date. Communicates effectively with each physician for patient messages. Maintains organization and proper handling of voicemail, text messages, incoming faxes, written messages, and referrals to ensure patient's needs are met in a timely manner. As well as performing general office duties such as indexing medical records.

In addition, the scheduler is expected to maintain effective communication with physicians, patients, and other staff, while adhering to safety protocols and safeguarding patient confidentiality. This role requires attention to detail, efficiency, and the ability to work in a team-oriented environment. The scheduler is expected to conduct themselves professionally and carry out other duties as assigned by management.

Experience

An ideal candidate for this position should have 1–2 years of administrative, office, hospitality, customer service, or medical office experience or training. A strong understanding of filing systems, office machines, and general office equipment is essential. Experience with medical terminology—including familiarity with CPT and ICD-10 codes—and a solid understanding of the medical insurance process is preferred and highly beneficial. Knowledge of HIPAA regulations is preferred but not required.

Candidates must be well-organized, detail-oriented, and possess excellent verbal and written communication skills. Strong customer service abilities, professionalism when interacting with patients, and the capacity to work in a fast-paced environment with high call volumes are important. The ability to multitask, adapt to changing priorities, problem-solve, and meet deadlines is critical. Candidates should be able to interpret documents such as safety rules, operating instructions, and procedure manuals, while maintaining proper grammar and spelling in written correspondence.

Computer skills required: the ability to type a minimum of 60 words per minute, general knowledge of basic computer systems, and proficiency with Microsoft applications is preferred. Experience with electronic medical records (EMR) systems is preferred but not required.

Education

High school diploma or general education degree (GED), two-year college degree preferred but not required.
