Provides clerical support to management through conducting and organizing administrative duties and activities, including receiving and handling information as it pertains to the Manager. Demonstrates on-going commitment to preparing young people for the workforce by modeling, mentoring and monitoring excellence in the eight Career Success Standards of:  workplace relations and ethics; information management; communications; multicultural awareness; personal growth and development; career and personal planning; interpersonal skills and independent living.

 Duties and Responsibilities

  • Demonstrates and abides by ODLE Core Values and operating principles.
  • Perform secretarial duties including preparation, typing and management of correspondence,
    special reports and documents on a desktop computer.
  • Maintain appointment calendar and schedule appointments.
  • Organize and coordinate meetings, take notes, type and distribute as necessary.
  • Composes and prepares routine correspondence for signature.
  • Act as liaison between the Manager and other departmental or center staff. 
  • Independently prepares recurring reports for review and signature.
  • Sends and retrieves messages via email.
  • Faxes and retrieves incoming messages on a regular basis.
  • Performs system backup procedures on the  computer.
  • Receive and handle incoming mail and handle outgoing mail, and maintain follow up dates for action items.
  • Assists the Director with preparations and arrangements for special events.
  • Establishes and maintains confidential files and records.
  • Proofreads and corrects grammatical, punctuation and spelling errors

  • Answers telephones and directs calls to the appropriate person.  May handle routine 
    calls if knowledgeable on subject.
  • Orders necessary office supplies and equipment.
  • Operates office machines and instructs others in the operation of same.
  • Assists in the training of new clerical personnel.
  • Answers center telephone at reception area.
  • Attends in-service training sessions.
  • Cultivates and maintains a climate on center that is free of harassment, intimidation and 
    disrespect to provide a safe place for staff and students to work and learn.
  • Clearly communicates and consistently models appropriate CSS and employability skills
    including personal responsibility and computer fluency.
  • Maintains accountability of staff, students, and property, adheres to safety practices in all areas of responsibility.
  • Performs other duties as assigned.

Education and Experience Requirements          

•    High School graduate or equivalent.
•    At least three years of practical experience.
•    Typing at least 45 wpm.
•    Prefer two-year business college degree.
•    Valid driver's license in state of employment with an acceptable driving record.

Additional Requirements:

Ability to perform administrative duties without immediate and constant supervision.  Ability to type accurately at a fast speed. Proficient in operating a personal computer.  Working knowledge of software applications such as Microsoft Word, Excel, etc. Thorough knowledge of office procedures.  Good organizational skills. Excellent communication skills, both oral and written. Sound telephone techniques. Ability to deal effectively with the public and government officials. Ability to proofread and correct grammatical, punctuation and spelling errors. 

Working Conditions: 

This position involves frequent sitting, standing and walking. Occasionally, position involves bending, stooping, carrying and squatting.  Applicant must be able to see, hear, and speak.

Environmental Demands:

Position requires ability to spend 5% of work time outside and 95% of work time indoors; ability to withstand moderate noise levels, including voice levels 90% of work time; ability to work in heat up to 95 degrees outdoors in summer months; and ability to work in temperatures as low as 5 degrees in winter months. 

Position requires an ability to operate office equipment. In addition, individual must be able to interact with team members and maintain an effective working relationship with all facility staff and departments.
