The Front Desk Associate is the first point of contact for the company and is responsible for promoting a good first impression on all the visitors and callers

Rotational shift and days, must be flexible 24/7 rotating schedule.
In this role you will:- Manage daily office operations to ensure smooth workflow.
- Answer and direct phone calls, greet visitors, and escort guests entering restricted areas.
- Handle inquiries and provide company-approved information as per Corporate Communication guidelines.
- Issue ID cards, lanyards, and proximity access cards for new hires and manage visitor access and control.
- Coordinate transportation requests for employees and guests, as approved by managers and directors.
- Act as the main contact for conference room reservations and scheduling.
- Maintain an orderly and clean reception and waiting area, especially for new hires.
- Ensure office supplies are stocked by monitoring inventory, placing orders, and verifying deliveries.
- Coordinate hotel accommodation and airport/site transportation for clients, when requested.
- Assist clients with food and other requests during their visit to the site.
- Oversee concessionaire applications and daily operations to ensure high-quality services for employees.
- Support team efforts by completing related tasks as needed.
- Maintain office records, including filing documents and updating databases.
- Prepare reports or presentations for management, as necessary.
- Assist in organizing office events, meetings, and celebrations.
- Monitor and update office equipment to ensure functionality.
- Handle incoming and outgoing mail and deliveries efficiently.
Other Responsibilities:
- Assist in onboarding new employees by preparing welcome kits, coordinating orientations, and setting up workstations.
- Provide administrative support to different departments as needed, such as preparing documents, printing materials, or compiling data.
- Help organize and coordinate company events, team-building activities, or celebrations.
- Monitor and ensure the functionality of office equipment like printers, copiers, and projectors, and arrange for repairs or maintenance when necessary.
- Support managers or directors in scheduling meetings, preparing agendas, or taking meeting minutes.
- Coordinate & manage with external vendors and service providers for office maintenance, repairs, or supplies.
- Assist with travel arrangements for employees, such as booking flights or coordinating itineraries.
- Provide support for health and safety measures, including emergency drills, first aid kit checks, or ensuring compliance with workplace safety standards.
- Help with organizing and storing confidential documents securely, ensuring compliance with data privacy policies.
- Perform basic research tasks or compile information as requested by management.
- Support ad-hoc recruitment activities, such as scheduling interviews or assisting with candidate coordination.
- Graduated with a 4-year degree from any field
- The ability to work well in all levels of organization
- Excellent English communication skills
- Proficiency in MS Office (Word, Excel)
- Flexibility in terms of work hours, open to shifting schedules, extended work hours and working on holidays and weekends
- The ability to multi-task and perform in a fast-paced environment
