Position Overview
- Audit the different sections of the HR department as well as other related departments to ensure compliance with HR processes and procedures, statutory reporting, labor laws, and other relevant rules, regulations and legislations.
- Work in collaboration with members of these departments and the Global HR Compliance Team to discuss audit findings and come up with corrective measures, if necessary.
- Verify that all new hires comply with Pre Employment Requirements such as the mandatory Background Check (BGC), Pre-Employment Medical Exam(PEME), and Drug Test(DT) and the submission of government numbers (SSS, PhilHealth, PagIBIG and TIN)
- Ensure that the engagement of any new hire with incomplete pre-employment requirements or unfavorable BGC/PEME/DT results is terminated or suspended until proper documentation is submitted to negate these findings
- Support external audit projects initiated by the Risk and Compliance Department as well as the Finance and Accounting Department
- Act as the HR POC for Client Audits
- Conduct periodic review and inspection of current systems, processes, procedures, policies and workflows
- Offer recommendations to improve the accuracy of data input into the system of record
- Review relevant documents in relation to the job offer, employment contract and internal promotion process to ensure that pay rates, effective dates and other information are correct
- Provide immediate feedback to concerned departments for all identified or potential issues and problems; schedule working sessions to conduct root cause analysis and brainstorm on possible solution
- Review all documented HR processes periodically
- Collaborate with process owners in identifying opportunities for improvement, formulating strategies and actions
- Ensure that action plans are implemented within agreed timelines and that issues are resolved.
- Verify the Dayforce Onboarding completion of all new hires, which include the acknowledgement of documents such as Non-Disclosure and Confidentiality, etc
- Monitor completion of the annual Employee Handbook training and acknowledgement by all employees.
- Monitor completion of mandatory trainings such as Information Security, Mandatory Eight Hour Safety and Health Training (MESH), etc
- Remind department leaders of their accountability for 100% completion/ compliance
- Get updates on labor laws and standards, new legislations, executive orders, etc. that may impact our employment practices and policies
- Conduct periodic check for understanding of our code of conduct and progressive disciplinary process among people managers and employees
- In collaboration with the Employee Relations team, design and administer relevant learning sessions and/or training programs, prepare and disseminate information to the employees
- Audit HR functions such as compensation/ payroll and benefits vis-à-vis the provisions of the Handbook on Workers Statutory Monetary Benefits
- Audit compliance with the Data Privacy Act (Republic Act 10173) and Occupational Safety and Health (Republic Act 11058), Anti-Age Discrimination, etc
- Be responsible for the preparation and delivery of compliance-based communications to the HR Leadership
- Prepare a Monthly Compliance Report for discussion with the HR Leadership which includes the status of all ongoing corrective measure, action items, highlighting any potential issues and suggesting improvements before compliance issues arise, but without causing unnecessary disruption to the departments' day-to-day activities.

- Ability to quickly learn the organization's HRIS, payroll, and similar employee management software.
- Basic knowledge of problem solving and process improvement frameworks like Lean, Six Sigma and the like
Education and Experience:
- Bachelor's degree in Human Resources, Organizational Communications, Industrial Psychology, Business Administration or related field required.
- 3-5 years experience in a data rich position within the HR Department
- Experience in conducting internal audits and responding to external audits
- Experience in HCM/HRIS system, preferably Dayforce
