The position of Benefits Leave Administrator will be based out of our Dallas, TX locations!

Summary

Benefits Leave Administrator with general supervision and in coordination with external vendors, administers the Company's leave of absence and accommodation programs. This position is responsible for the research, analysis, evaluation, and administration of the Company's leave and disability policies, plans, and payments. This position, in coordination with vendors, HR, employees and managers provides concierge-like support to employees, managers, and HR to help them navigate the leave and disability processes.

 

What You'll Do

  • Administer Rexel's Leave Management Program in coordination with external vendor, including, but not limited to reporting, and compliance
  • Ensure compliance with applicable state and federal employee benefit laws and regulations including, but not limited to, ADA, ACA, COBRA, FMLA, HIPAA, ERISA, and applicable IRS and DOL regulations
  • Interpret FMLA, Non-FMLA, ADA and Workers' Compensation implications related to leaves of absences and disabilities
  • Maintain the privacy and security of employee personal information, including escalating to management when data is requested by other parties who do not have a need for access
  • Serve as primary point of contact for all phone, email, and mail communications related to leave related processes and provides guidance related to the Company's leave policies, and disability plans
  • Maintain employee benefit files related to LOA and disability claims, electronic or hard copy
  • Process all Short and Long-Term Disability payments. Maintain LOA employee timecards within the payroll system and ensures they are updated with applicable paid time off hours per company, state, and disability plan policies/laws to prevent overpayments
  • Work with the Benefits Manager to assist with the ADA accommodation processes
  • Manage Jira tickets related to leaves and benefits and meets company SLAs
  • Complete state and other forms related to leave of absence claims, verification of employment, child support orders, and other related documents
  • Act as a liaison between employees, third-party leave administrator and disability insurance provider to track document submission/collection and follow through for timely claim determination. Responds directly to questions and issues raised by third party administrators
  • Determine, collect and process benefit premium payments while employees are on approved leave of absence
  • Conduct training sessions on leave and disability practices for supervisors and managers as needed, requested or required
  • Partner with Benefits Manager to identify opportunities to improve leave processes and internal work efficiencies
  • Work cross functionally with Risk, Payroll, ADP and HRIS where leaves have impact to ensure seamless processes
  • Provide back-up support to other areas of Benefits as needed

What You'll Need

  • 4 Year / Bachelor's Degree preferred    
  • 5+ years of experience and/or training in employee benefits and leave administration


Knowledge, Skills & Abilities

  • Must have strong computer, HRIS and software skills.
  • In-depth knowledge of FMLA, ADA, Military leave, Workers' Compensation and other applicable federal and state laws
