As an Executive Assistant you will be a ‘right hand support' for our Chief Executive Officer and will support a wide range of administrative and executive support related tasks while working independently with little or no supervision. You will organize travel, correspondence, and schedules. This also includes some of the responsibilities of a personal assistant including managing a personal and social calendar and assisting in arranging special gatherings. Using strong organizational skills and attention to detail, you will also support a variety of administrative projects including organizing logistics for board meetings, assist with communicating confidential information and assist in optimizing the CEO's time and resources. In this role you will ‘manage up', anticipating needs and taking initiative.
ESSENTIAL JOB DUTIES:
· Handle all daily administrative operations for the President/CEO.
· Managing key functions of the President/CEO's office including phone, mail, correspondence, and record keeping.
· Arrange travel schedule and reservations as needed.
· Coordinating schedule of meetings and maintaining calendar for both professional and personal appointments.
· Planning and executing events.
· Reviewing all incoming mail, taking action as appropriate and preparing outgoing mail.
· Developing and maintaining a system for reviewing and sorting all incoming materials (publications, periodicals, etc.)
· Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
· Meet and greet Executives and assist in relaying time sensitive and confidential information.
· Maintaining and tracking expenses.
· Other duties as assigned.
JOB QUALIFICATIONS:
· 7+ years' experience supporting at the executive level is required
· Bachelor's degree preferred but not required.
· Paralegal experience would be beneficial but is not required
· Must have a proven proficiency with MS Office programs, especially MS Word, MS Excel and MS PowerPoint
· Must have experience developing and modifying internal and external company communications and presentations and be comfortable developing presentations in PowerPoint for varying audiences
· Excellent calendar management skills, including the coordination of complex executive meetings is required
· Must be comfortable with supporting a flexible work schedule
· Experience assisting management with the creation of PowerPoint presentations is required
