Job Description:

This position is for a Satellite Program Office Administrative Assistant/Action Officer in Chantilly, VA supporting cutting-edge and innovative space programs.  Be part of a highly effective and collaborative front office team responsible for delivering expectational support to senior level government staff.

 

The Administrative Assistant/Action Officer supports the Satellite Program Office by providing direct executive services support to government customers in execution of their duties and responsibilities. The Administrative Assistant/Action Officer assists the Front Office Leadership, develops/ maintains the office file plan, and provides back-up support to the Front Office team.

 

 

Role Responsibilities:

• Provide administrative, project, and logistics support to senior managers, including the Government Program Manager and Front Office Staff that include Military and Civilian personnel.

• Manage senior manager calendars/schedules and coordinate visit requests.

• Process travel authorizations and expense reports.

• Arrange for appropriate conference rooms/facilities and prepare meeting places in accordance with acceptable protocol and security procedures.

• Develops and maintains front office file plan.

• Ensure the office maintains an adequate amount of office supplies and order more as needed.

• Assist with special event requirements such as time and place, location, duration, number of attendees, security requirements, and travel arrangements.

Qualifications

TYPICAL EDUCATION AND EXPERIENCE: Bachelors and ten (10) years or more of related experience; Masters and eight (8) years or more experience ; PhD or JD and five (5) years or more experience.  

• 3 years of relevant experience supporting Military/Civilian Leadership.

• Ability to work in a fast paced, dynamic, and team environment with no supervision.

• Strong problem identification/resolution skills, flexibility, initiative, and a proven ability to communicate and work with senior executives efficiently and effectively (to include experience interfacing/communicating with senior executive leadership in government or industry).

• Create and maintain office action tracking system.

• Strong experience in writing/editing memos and correspondence.

• Excellent computer skills in MS Office (Word, Excel, PowerPoint).

• Ability to communicate with a diverse audience of decision makers with varying levels of programmatic and technical expertise.

• Effective communication, coordination, and customer engagement skills.

• TS/SCI Required. Poly preferred OR ability to obtain Poly.
