The Information Technology Inventory Control Administrator is responsible for managing and overseeing the inventory of all IT assets within the organization. This role involves ensuring the accuracy of IT inventory records, maintaining proper documentation, and implementing efficient processes for the acquisition, deployment, and disposal of IT equipment. The administrator will collaborate with various departments to streamline inventory management practices and ensure compliance with organizational policies and procedures.

What You'll Be Doing:

  • Inventory Management: Track and maintain accurate records of all IT assets including hardware, software, and peripheral devices. Perform regular audits to reconcile inventory with physical assets.
  • Asset Lifecycle Management: Oversee the acquisition, deployment, and retirement of IT equipment. Ensure timely processing of asset requests and coordinate with vendors for procurement.
  • Documentation: Maintain up-to-date documentation related to IT inventory, including purchase orders, asset tags, warranty information, and maintenance records.
  • System Management: Utilize inventory management software and systems to log, monitor, and report on IT assets. Generate reports and analytics on inventory trends, usage, and status.
  • Compliance: Ensure compliance with organizational policies, industry standards, and legal requirements regarding IT asset management and data security.
  • Support and Coordination: Work with IT support staff to manage inventory for repairs, replacements, and upgrades. Coordinate with other departments to address inventory-related needs and issues.
  • Training: Provide training and support to staff on inventory management procedures and best practices.
  • Process Improvement: Identify opportunities to enhance inventory management processes and implement best practices for efficiency and accuracy.

Secondary Duties (AS NEEDED):

  • Technical Support: Provide initial support for IT-related issues via phone, email, or in person. Troubleshoot and resolve hardware, software, and network problems on time.
  • Issue Resolution: Diagnose and resolve basic technical issues related to operating systems, applications, and hardware components. Utilize knowledge bases and documentation to assist in problem-solving.
  • User Assistance: Assist users with setup, configuration, and use of IT equipment and software applications. Guide best practices and troubleshooting techniques.
  • Ticket Management: Create, update, and close support tickets in the IT ticketing system. Ensure that all tickets are addressed within agreed service level agreements (SLAs).
  • Escalation: Identify and escalate complex or unresolved issues to higher-level IT support or specialized teams. Provide detailed documentation of the problem and steps taken.
  • Documentation: Maintain accurate records of support activities, including issues reported, solutions provided, and any follow-up actions. Contribute to knowledge-based articles and user guides.

What You Need to Be Successful:

  • Proficiency in inventory management software and IT asset management tools.
  • Strong organizational and analytical skills with attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple priorities and work effectively in a fast-paced environment.
  • Certifications: Relevant certifications such as CompTIA A+, ITIL, or Certified Hardware Asset Management (CHAM) are a plus.
  • Basic knowledge of operating systems (Windows, macOS, Linux) and common software applications.
  • Basic knowledge of the Microsoft Office Suite
  • Previous experience in a technical support role or a related internship is a plus but not required. A strong interest in IT and eagerness to learn are essential.
