THE OPPORTUNITY:
As Administrative Assistant in the Business Immigration Group, you will be responsible for supporting the administrative functions that will allow our legal team to manage case work.
THE DAY-TO-DAY:
On any given day, you will be working with our Business Immigration Group's attorneys, account managers, and other team members.
From an administrative perspective, you will:
- Assist with time entry in Carpe Diem and business travel arrangements
- Process expense reports and invoices in Chrome River and coordinate check requests
- Assist with mail and correspondence, and ensure docketing and case handlers receive daily mail
- Organize and schedule meetings, calls, and videoconferences for attorneys and the larger BIG Team
- Track and maintain professional memberships
- Manage print jobs with Office Services
- Receive and organize mail and government correspondence, to include preparing FedEx labels
- Prepare engagement letters for new clients or self-pay matters
- Open new clients and facilitate running conflicts and open matters
- Review client intakes and prepare case initiation e-mails
- Maintain templates for submissions and ensure uniformity with filing
- Communicate with clients to receive case relevant documentation
- Prepare packages for attorney approval and sending
- Copy, scan and upload packages for filing including all NIV and IV filings, withdrawals, and PERM Audit responses
- Navigate the case management system to include updating of processes and information
- Print and organize documents
- Print/organize prepared withdrawals and Premium Process Upgrade requests
- Prepare approval packages to ship original approval notices to FN
- Add USCIS notices and other correspondence to files
- Send calendar reminders regarding PERM expiration dates to appropriate team member(s)
YOU HAVE:
- A Bachelor's degree (preferred)
- 1-2 years of administrative experience (preferred)
- Multitasking skills to work in a fast-paced, deadline-driven environment
- Aptitude to navigate complex technology platforms efficiently
- Effective verbal and written communication skills, as appropriate for the needs of the audience (clients, governmental agencies, internal and external resources)
- Logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, and approaches to problems
- Strong time management and organizational skills
- Ability to work effectively in a team-oriented environment

The salary range for this role is $50,000 to $55,000 annually, which is based on a 40-hour work week. This range is only applicable for jobs to be performed in New York. This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. An employee's pay within the salary range will be based on numerous factors including, but not limited to, relevant education, qualifications, experience, skills, and business or organizational needs. This job is also eligible for an annual merit increase and bonus pay.
