Position/PCN: Records Specialist-Medicare, 7/28/25 start date

Position FTE: 1.0 FTE

Pay Grade: 8

Starting Wage: $20.82

Days Per Year: 221

Class Summary: Under supervision, incumbents are responsible for performing duties related to reviewing, maintaining, and monitoring legal compliance for district-wide special education documentation.

Distinguishing Characteristics:  The Medicaid Records Specialist is a stand-alone classification.  The Medicaid Records Specialist is distinguished from other classifications by its responsibility for working with Medicaid billing as related to special education services.

Duty No. Essential Duties Frequency Band/ Grade 1 Provides information and training regarding Medicaid billing compliance and procedures to special education and related services staff to ensure accurate and timely documentation and billing procedures. Daily
20% B2 2 Collaboration and Communication with Therapist to accurately record SOAP notes, log services for Medicaid billing, and log services to document implementation of the IEP. Confirm accurately and timely completion of SEAS notes. Daily
40% B2 3 Performs State Self Audits on a 2 year cycle. Responds to and provides records to the State of Alaska Medicaid for any and all special audits (PERM) notified of. Use of  State audit software for pulling random record samples. Daily 5% B2 4 Knowledge of ICD10 coding and CPT coding to support Related service providers for Medicaid billable services. Weekly
15% A1 5 Use of Excel and accounting software for critical evaluation of reports for accurate billable data verification. Weekly 10% A1 6 Complete reporting functions as needed for Medicaid billing. Weekly
5% A1 7 Performs other duties of a similar nature or level. Weekly
5% A1   Knowledge: 
  • General office practices and equipment
  • Filing methods
  • Basic understanding of Special Education
  • Medicaid billing practices knowledge preferred, but not required
Skills (position requirements at entry): Skill in:
  • Utilizing computers and related software applications;
  • Utilizing established methods to file;
  • Gathering and organizing data;
  • Preparing reports;
  • Reviewing and interpreting program regulations and requirements;
  • Communication, interpersonal skills as applied to interaction with coworkers, supervisor, the general public, etc. sufficient to exchange or convey information and to receive work direction.

 
Training and Experience (position requirements at entry):  High School Diploma, or G.E.D. and three years of detailed program experience; or, any combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.

Physical Requirements:  Position in this class typically require:  reaching, talking, seeing, and repetitive motions.  Sedentary Work:  Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body.  Sedentary work involves sitting most of the time.  Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
