Description
The Administrative Assistant to Branch Manager provides sales, administrative, and operational support to the Branch Manager. This positions assists in maintaining the smooth operation of the branch by addressing and resolving a wide variety of sales, administrative, and operational issues.
What We're Looking For
- Support Branch Manager in the sales area including sales management and compliance functions. Open new accounts, enter trades, give quotes, perform research, allocate or distribute syndicate allotment shares to branch brokers, sign checks, request wire transfers, providing excellent customer service to clients, etc. Within set parameters, move money in authorized managed accounts to clear debits or margin accounts for trades.
- Provide administrative assistance by typing, filing, making all special meeting and meal arrangements, travel arrangements, coordinating mail and fax distribution, assist with budget/general ledger responsibilities, etc.
- If Series 9 and Series 10 licensed, approve items requiring manager approval when Branch Manager is absent.
- Responsible for the orientation and paperwork for all branch employees.
- Coordinate Firm Element training sessions needed for the branch.
- If no Operations Manager, act as a liaison between Branch Manager and branch staff by coordinating timesheets and vacation schedules, processing commission or payroll related inquiries or problems, order materials/supplies needed for the branch.
- Act as Petty Cash Custodian. May serve as backup to other Sales Assistants or Cashier.
- May coordinate work needed for insurance registrations.
What You'll Bring
- Solid understanding of the investment brokerage industry and software.
- Knowledge of administrative and clerical procedures and systems such as word processing, spread sheet applications, managing files and records, and other office procedures and terminology.
- Basic understanding of operations system (i.e. forms and their purpose).
- Basic understanding of accounting/finance.
Education & Experience
- High School Diploma or equivalent experience
- 3+ years' of secretarial experience
Systems & Technology
- Proficient in Microsoft Excel, Word, PowerPoint, Outlook
