The Corporate Access & Event Administrator is responsible for assisting with coordinating and executing all aspects of events and conferences for the Institutional Group. This includes working directly with the Corporate Access and Conference teams to assist Investment Banking, Research, and Institutional Sales.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

· Assists in preparing and coordinating smaller events and conferences provided to the clients/staff of the Investment Banking and/or Institutional Sales divisions.

· ssists in coordinating Investment Banking's internal tracking of event registration and communicating event specifics and details.

·Assists in managing vendor relationships, including hotelss, destination management, travel, sports, event production, and audio-visual production companies.

·Assists in inventory management and shipping marketing supplies to events.

· Provides backup and administrative support for all team members when necessary.

· Ability to anticipate the implications and consequences of situations and take appropriate action in preparation for possible contingencies; being flexible and adaptive to changing circumstances.

·Ability to ensure that accurate and comprehensive information is shared with those who need to know in a timely manner.

· Ability to demonstrate depth of knowledge and skill in a specialized area and make last-minute modifications when needed.

· Must be able to travel/work outside regular work schedule with minimal notice.

· Effective verbal and written communication.



Education & Experience

·Minimum Required: Bachelor's Degree or equivalent combination of education and experience.

·Minimum Required: 2+ years of related experience.



Systems & Technology

· Proficient in Microsoft Excel, Word, PowerPoint, and Outlook.

· Ability to navigate Meetmax, Salesforce, and Bloomberg.
