Project Summary
Tetra Tech is providing energy expertise and related technical and material assistance to the Government of Ukraine. This project focuses on enhancing the resilience, reliability, affordability, and security of the electricity, natural gas, and district heating sectors. The scope of work includes addressing immediate challenges and physical damage to energy infrastructure, as well as preparing for Ukraine's post-war reconstruction and long-term energy security.
Position Summary
Tetra Tech seeks a Logistics Assistant who will support logistics operations and activities to ensure the efficient delivery of goods and materials for Ukraine's energy sector needs. The Logistics Assistant will report to the Senior Project Execution and Logistics Manager. This is a full-time position for the duration of the program (until April 2029), for Ukrainian citizens, to be based in the Kyiv office. Occasional travel in Ukraine may be required.
Position Responsibilities
- Assist with local logistics coordination to ensure the timely, efficient, and compliant delivery of goods and materials procured
Coordinate with recipients, vendors, and Tetra Tech to ensure the completion of legal transfer documents for equipment in a timely manner
Oversee the signing, collection, verification, scanning, and distribution of agreements, property transfer, and handover documentation between brokers, recipients, and vendors
Ensure photographic evidence and delivery confirmations are collected and shared with both recipients and vendors
Track and confirm the completion of vehicle registrations and all transfer-related obligations, ensuring all documentation is properly completed and filed
Monitor and manage the collection of inventory data and records; maintain a well-organized archive of project documents, both physical and electronic
Upload and maintain shipping documents, consignment notes, and delivery evidence in designated cloud storage folders
Develop familiarity with logistics, shipping, and customs regulations within Ukraine to help streamline processes
Collaborate with customs and tax specialists to facilitate the seamless movement of goods
Support the distribution of goods, including preparing and coordinating all necessary documentation and branding of U.S. government-funded items
Manage incoming and outgoing hard copies of correspondence related to logistics and documentation
Provide general administrative support and perform additional tasks as needed to assist the logistics and project execution teams
Required Qualifications
Bachelor's degree in logistics, finance, engineering, business administration, or other relevant field
Minimum of three years of relevant experience in logistics, supply chains, procurement, or operations
Strong organizational skills and the ability to meet deadlines
Effective written and verbal communication skills
Detail-oriented and capable of working independently with guidance
Ability to handle multiple tasks and adapt to a fast-paced work environment
Attention to detail and accuracy in data verification
Familiarity with cloud storage systems and basic digital documentation tools
Willingness to learn and contribute proactively to team success
Fluency in Ukrainian and full proficiency in English
Preferred but Not Required Qualifications
Professional certification in supply chain management, logistics, or procurement
Experience with U.S. government or other donor-funded projects
Line Management Responsibility: N/A
Physical Demands and Work Environment: This position will require regular attendance at the office in Kyiv and may entail occasional travel within Ukraine for interaction with local stakeholders.
