Within our Northwest Region, our WTR Business Unit is looking to quickly hire a Project Administrator/Document Controls specialist in support of our growing project portfolio. 

The Project Administrator/Document Controls Specialist will be trusted to provide efficient, accurate, and reliable support to Project Managers. Qualified candidates will have relevant experience in the architect/engineering consultant industry and will be prepared to step in quickly, effectively and with minimal training to allow our Project Managers to immediately and actively engage support. Your Role:

The Project Administrator will help the NW Project Teams deliver successful projects for our clients by assisting Project Managers and Project Controllers with:

  • Document Controls – Establish and maintain project filing structures, electronic and hardcopy working project files, reference libraries, project SharePoint sites. Administer project closeout and archiving at project completion. Conduct periodic quality assurance audits on document files and databases.
  • Scheduling Support – Establish and maintain project calendars and deliverable schedules (typically in Excel or MS Project, possibly Primavera)
  • Project Templates – Define and maintain project templates across all team members for project work products such as technical reports, drawings, memos, meeting agendas, meeting minutes, etc.
  • Proposal and Project Production – Assist in proposal preparation, compile project approach narratives across team members, draft subcontractor scopes of work, edit documents, compile and produce technical reports, tables, memos, spreadsheets, presentations.
  • Change Management – support the scope change administration process, track identified deviations from contracted scope, coordinate with finance department to evaluate cost impacts of deviations from workplans, prepare documentation for clients to support requests for contract budget/scope modifications.
  • Earned Value Analysis – support monthly preparation of earned value analysis by interviewing technical team on work completed to date, consolidating responses across team members. Provide input to monthly invoices to ensure clients are billed in a timely manner.
  • Quality Assurance/Quality Control – administer the established project quality assurance/project control process. Coordinate with technical team to ensure all client review comments have been addressed in final work product (Dr. Checks).
  • Meeting Coordination – administer meeting arrangements, document meeting minutes and action items, monitor follow through. Regularly attends and contributes to Project Review meetings to communicate project specific action items, schedule/budget concerns, subcontracting actions, deviations from workplan.
  • Health & Safety – assist with development of project specific health and safety plans.
  • Teamwork & Communications- maintains positive and productive working relationships and open lines of communication with Project Managers, Project Controllers, Office/Ops Managers, Finance/Contracts team, Technical staff and Administrative staff. Will occasionally serve as backup to other Administrators to help balance workloads and provide vacation coverage.
  • Other duties as assigned.

 

Qualifications:

  • Bachelor's Degree in business administration, communications, English, or other relevant degree, plus a minimum of 3 years of relevant experience in project administration in the AE community. 
  • Advanced proficiency in Microsoft Office (Projects, SharePoint, Word, Excel, PowerPoint ,Outlook Teams) as well as Adobe PDF creating/editing.
  • Experience with ProjectWise is a plus.
  • Must be organized, a resourceful problem-solver, a reliable team player, demonstrate high attention to detail and a commitment to accuracy, and have the self-initiative to follow-through on tasks until completion.
  • Must have excellent communication skills (verbal and written) and strong interpersonal communication skills to interact with diverse personalities.
  • Ability to reliably support and confidently assist multiple engineering project managers in their daily tasks
  • Proficient in maintaining project file systems in hard-copy and electronic retention version
  • Proactive and able to recommend practices, reference other resources and distinguish between required policies, procedures and informational resources and guidance for a variety of clients 
  • Ability to multi-task and prioritize conflicting demands in a deadline-driven and at times highly demanding situations. This is an interactive position, therefore individual must have a positive, calm, and professional attitude while dealing with staff and clients in person, over the phone, and by email. Portray a positive professional image for the company.
  • Willingness to occasionally travel to regional offices to attend weekly staff meetings, project meetings or facilitate/attend training. 
  • This is currently a hybrid (in office/remote) position, based in either the Seattle or Bellevue office. In office attendance will be required an average of 2 days per week, depending on supervisor requirements/priorities.
