POSITION SUMMARY:

The Tenant Experience Associate main responsibility is to create and manage programming at a Class A, LEED BD+C, high-rise office to enhance the experience for tenants and visitors and create a sense of community on the property. This role also includes managing and coordinating the conference/meeting rooms and event spaces on the Level 6 Amenities Floor, as well as meeting rooms and tenant break/office amenities on floors 1, and 8-13.

Additionally, this role will provide venue management services for the external visitors and building's occupants by managing all reservations and coordinating proper setup of meeting/networking spaces, décor, guest check in and guidance, catering, etc, and curating unique ideas to activate the amenity spaces, including the Fitness Center/Cycle Room/Group Fitness Room.

The Tenant Experience Associate will also be responsible for reporting progress on upcoming events at regularly scheduled team meetings, as well as constant communication with Property Management updates.

The ideal candidate for the Tenant Experience Associate will be available to work early mornings, evenings, and weekends, as needed to ensure successful and smooth operation of booked events.

ESSENTIAL JOB FUNCTIONS:

  • Programming planning for the occupants of the property to be hosted in building event spaces (terrace, Town Hall, Café, Fitness Center, Lawn, etc.)

  • Manage the Level 6 Amenities Floor including the technology, reservation requests from occupants, lounges, café and food retailer, table and chair set up and breakdown, cleaning schedules between events, and guest management to designated floors

  • Curate unique and worthwhile activations in amenity spaces, as needed

  • Coordinate property synergy

  • Assist Property Management team in creating welcome collateral and events, as needed

  • Facilitate fitness instruction, classes, events, supply ordering, etc.

  • Utilize common areas for pop-ups and activations, as needed

  • Assists with communication disbursements regarding events for building occupants, as needed

  • Act as building ambassador, including maintaining a welcoming presence in public spaces when requested during events

  • Engage building occupants to participate in building programming, as needed

  • Maintain Fooda and Farmer's Fridge services on Level 6

  • Manage snack and beverage inventory for building break rooms and executive suites on level 13

  • Manage office supply inventory for building copy rooms

  • Coordinate the ordering and delivery of floral arrangements, corporate gifts, catering, etc. as required

  • Stay current on knowledge of local events and cultural attractions

  • Facilitate, coordinate, and source vendors as needed for building events and programming

  • Track and manage vendor Certificates of Insurance (COIs)

  • Book and coordinate all events at the building including providing stanchions, staging equipment and furniture, creating and providing professional signage, etc.

  • New building initiatives to enhance the experience of building occupants as needed and requested (researching and implementing new technology, new amenities, new sustainability programs, and special projects)

POSITION REQUIREMENTS:

  • Highschool diploma or GED.

  • A bachelor's degree, preferred.

  • Must have intermediate to advanced MS 365 Word, Excel and Outlook proficiencies.

  • Proficient in Adobe PDF.

  • Experience in Canva, preferred.

  • Ability to keep information strictly confidential.

  • Strong desire to succeed in an entrepreneurial environment.

  • Must be able to handle multiple projects, changing priorities and a continually heavy workload.

  • Exceptional oral and written communication skills.

  • Strong customer service orientation.

  • Excellent problem-solving skills.

  • Self-starter

  • Ready ability to work hours outside of Mon-Fri 8am-5pm, as required.

This is a dynamic, on-site role that places you at the heart of the action. As a result, an essential function of this position is working on-site. Remote or hybrid options are not available. Being on property allows you to build strong relationships with clients and tenants, respond in real time, and make a visible impact every day.
