Minimum Education and Experience
Bachelor's degree and two years office administration or project management experience or an equivalent combination of education and experience.
Preferred Education and Experience
Experience in Peoplesoft preferred. Strong computer skills with proficiency in Microsoft Office Suite, particularly Excel. Good initiative, attention to detail, and strong organizational skills.
Essential Duties and Responsibilities
This position provides advanced administrative support for the Department of Mechanical Engineering, which is a large complex department, in accordance with departmental administrative needs:
Duties and Functions
- Welcome, understand and direct visitors in a friendly, professional manner. Assist visitors (faculty candidates, speakers, etc.) as needed.
- Create and maintain Standard Operating Procedure logs.
- Supervise and coordinate department work study students; assign tasks, training, schedule, and liaise with departmental staff to assist with high workload areas.
- Prepares request forms for door access, key requests, telecom, and needed facility work requests for the department.
- Maintains conference room schedules.
- Inventory liaison with ECS asset management team; maintains ME mobile asset inventory and annual inventory list of ME owned controlled assets.
- Issue and maintain shared equipment (laptops, projectors, polycom, etc.)
- Liaison for ME Tech/AV.
- Shipping/receiving point of contact. Receive, sort and distribute mail.
- Orders departmental supplies and equipment and maintains interdepartmental inventory.
- Assist with special events.
- Monitor and maintain 100% completion of annual compliance training requirements for the department.
- Maintain floor plans for all ME allocated spaces, including current occupants of all spaces.
- Maintains access list for all labs (key and card reader access).
- Other duties as assigned.

Remote Work Statement:
After the probationary period, this role may be eligible for a hybrid (partly remote/partly in office) work schedule, subject to business need and manager approval. May be required to use personal computer and other standard office equipment. Must be located within the DFW Area and have the ability to be on campus with 24 hours of notice. A UT Dallas Remote Work Agreement will be required within 14 days after approval.
