Description

The AAI position provides administrative support for both Faculty and Students in the Jindal School of Management. This position manages duties essential to the success of JSOM students, faculty and staff. The Admin Assistant will provide administrative support to the IS Area and the Professional Program in Computer Information Systems & Technology (PPIT) as well as financial and budgetary support through managing operating budget, maintaining tracking spreadsheets, reporting tools etc.

Minimum Education and Experience

Bachelor's degree and two years office administration or project management experience or an equivalent combination of education and experience.



Essential Duties and Responsibilities

  • Actively support faculty members.
  • Some of the related tasks include:
  • preparing paperwork for approval procedures,
  • purchasing requests, arranging travel for faculty and student groups,
  • reviewing expense reports and receipts, and completing travel vouchers for reimbursement.
  • Complete reconciliations, inter-departmental transfers, tracking account funds to give updates, and applying purchases for membership renewals, registrations, and external payments.
  • Create and maintain a database of faculty publications, events, their impact and engagement, and any other contributions to the University as a faculty member.
  • This involves researching members and entering or editing data for each semester/year. 

Support programs on various activities as needed, including with:
  • Initiating, managing and supervising recruitment activities, ad campaigns, web and search engine campaigns, and scholarship yield activities for the program.
  • Managing website content to facilitate recruitment processes.
  • Collecting, managing, and summarizing data and records required for effective management of the program.
  • Managing business relations pertaining to IS area internships and full-time jobs.
  • Initiating, managing, and supervising area events, workshops, conferences, and student competitions.
  • Working with the Career Management Center to support ongoing recruiting and placement efforts.
  • Maintaining records required by the University and accreditation bodies.
  • Interfacing with students about various topics including internships and job placement.
  • Additional administrative duties as needed.

Remote Work Notice
A hybrid remote work schedule may be available (currently 1-day remote weekly). Employee must be located within the Dallas/Fort Worth Metroplex area and have the ability to be on campus for work activities as scheduled and/or with 24-hour notice. Completion and approval of a UT Dallas Remote Work Agreement will be required upon employment, and use of personal computer, internet, and other standard equipment may be required. Remote work arrangements are subject to regular review and re-approval and may be canceled at any time.
